Asset Mass Edit Overview

The Asset Mass Edit tool gives our customers the ability to update multiple asset records with the same values.  Typically, our customers would use this tool for these reasons:

  • Data clean up.  For example, you might want all the assets with the same manufacturer and model number to have the same Category, Subcategory, Risk Number, and components
  • All the assets for a particular Account have the same contacts
  • Add downtime to all of the assets in a specific location

To use the Asset Mass Edit tool, follow these steps:

  1. Select Asset Mass Edit from the menu
  2. Use the Query screen to retrieve the assets you want to update
  3. The results of your query are displayed with check boxes that you clear the check box to remove specific assets from the Asset Mass Edit
  4. In the Asset Mass Edit screen, set the value for the assets you left checked in Step 2
  5. Leave fields which you do not want to change blank. Place a single dash (-) in fields where you want to clear the content
  6. When you've made all of your updates, use the right arrow on the toolbar to continue
  7. You are presented with a verification screen that lists the items you selected to update
  8. Click Update Assets to update the assets

Asset Mass Edit and Asset Edit Permissions

Because of the way that security is implemented in TMS, if you have access to the Asset Mass Edit Wizard, you can use the wizard regardless of the security set for the Asset  Module.  For example, William Shakespeare is a TMS user.  Will is part of the TMS group called Work Order Users.  The group Work Order Users has limited access to the Asset Module.  Users in the group Work Order Users have Read Only access to the Asset Module.  However, let's say that the group Work Order Users has Full Access to the Data Maintenance tools (including Asset Mass Edit).  Will Shakespeare can't edit an asset record from Asset Edit or Asset Query, but he can edit assets using the Asset Mass Edit Wizard.
