Asset Import Introduction

Asset Import is a Data Maintenance tool in the form of a TMS wizard.  The Asset Import Wizard allows our customers to import multiple assets simultaneously from a text file (CSV or Comma Separated Values) created using MS Excel.

To access the Asset Import Wizard, follow these steps:

  1. Click Tools

  2. Click Data Maintenance
  3. Click Assets

  4. Click Asset Import

The Asset Import Wizard can be very useful if you need to add a lot of assets simultaneously - either because you're just starting out with TMS and need to enter all your existing assets, because you've just received a large shipment, or because you have a new customer who needs their assets added to TMS. You can simultaneously import assets and create incoming inspection work orders using the Asset Import Wizard.

Get started with the Asset Import Wizard

Before you can get started using the Asset Import Wizard, you need to be prepared.  You'll need to have the following information:

  • CSV file - This is a Comma Separated Values file from MS Excel when, in Excel, you choose to Save File as CSV.  The CSV file contains an Example Asset and sometimes an Example Work Order.  It also contains the assets you want to import into TMS using the Asset Import Wizard.  TMS provides a .CSV file as a template for you.  The template spreadsheet is an addition to the installation and is located in the program directory.
  • Example Asset – The Example Asset is an asset you entered into TMS.  PMs, Contacts, Components, Contracts, and Asset Group information is copied from the example asset to the imported assets.  The values of any fields (except the Asset Number) populated on the example asset that don't have values in the CSV file are assigned to those fields in the imported assets.
  • Example Work Order – The Example Work Order is a work order you entered into TMS.  Assignments, Time Charges, Material Issues, Procedures, Procedure Readings, and Downtime are copied from the example work order to the imported asset.  The values of any fields (except the Work Order Number) populated on the example work order are assigned to those fields on the work order for the imported asset.
