Create a Mapping File
On the Create Mapping screen, you map the field data in your data file to fields in TMS. If you selected New Mapping on the Welcome screen, you need to map all fields you want to import. If you selected Use an Existing Mapping, however, you can add new mappings.
There are two methods with which you can map fields, and you can use a combination of both:
Map Source Column to TMS Field
When you select the Map Source Column to TMS Field option button, two drop-down menus open:
-
Select Column From Source = The column from your data file that you want to map to an existing TMS field.
-
Select Destination TMS Field = The existing TMS field to which you want to tie the column from your data file.
This option allows you to select a column from your data file and then select an existing field from TMS to tie to the source column.
Assuming you selected Work Orders for the module and Work Orders for the functionality on the Select Module screen, here is an example of how you would map a source column to the TMS Type Code field:
-
Select the Map Source Column to TMS Field option button.
-
Either select the column from your data file to map (for example,TypeCode) from the Select Column From Source drop-down menu, or directly select the column from your data file in the mapping table and then the Edit button (pencil icon) next to the column name.
-
From the Select Destination TMS Field column, select the TMS field to which you want to map the source data in TMS.
For this example, select TypeCode.
-
Select the Add button to add the mapping tie.
Once you select the Add button to save the mapping tie you selected, the field you selected in step 3 is removed from the Select Destination TMS Field drop-down menu. No other ties can be made to that field.
The table row is updated to reflect the tie that you made. Repeat steps 2 - 4 for every field mapping you want to make.
To edit a mapping tie: select the table row to edit and then the Edit button (pencil icon) in that row.
To delete a mapping tie: select the mapping tie in the table and then the Delete button (- icon) in that row.
Add Value to all Source Rows
When you select the Add Value to all Source Rows option button, these two fields appear:
-
Value for all Source Records = The default value you want to assign to the TMS field for all records.
-
Select Destination TMS Field = The TMS field to which the default value should be assigned.
This option allows you to select a TMS field and enter a default value to be applied to all records you import into TMS. In this case, you would not map a column in your data file to a TMS field, you would only apply the defaulted value to the TMS field.
Assuming you selected Work Orders and Work Orders on the Select Module screen, here is an example of how you would apply a default value to the Priority Code field in TMS.
-
Select the Add Value to all Source Rows option button.
-
From the Select Destination TMS Field column, select the TMS field to which you want to map the source data in TMS. For this example, select PriorityCode.
-
In the Value for all Records field, enter the default value for this field (for example, 4).
-
Select the Add button to add the mapping tie.
Once you select the Add button to save the mapping tie you selected, the field you selected in step 3 is removed from the Select Destination TMS Field drop-down menu. No other ties can be made to that field.
A row is added to the end of the table in which you can see the field being defaulted and the default value you assigned to it. Repeat this process for every default value you want to assign.
To edit a mapping tie: select the table row to edit and then the Edit button (pencil icon) in that row.
To delete a mapping tie: select the mapping tie in the table and then the Delete button (- icon) in that row.
