Line Items From Materials-on-the-Fly
Update Notice:
The content below has been updated to reflect functionality from the latest maintenance release. There may be differences in the functionality available to you, in the version of TMS you are using.
In addition to using inventoried and non-stock materials for line items, you can also create line items from a material you create on-the-fly. To do so, follow these steps.
Requirements for this feature:
-
These Materials module options (Setup > Materials > Options) must be enabled:
-
Prompt to Create a New Material for Materials on the Fly (Line Items)
-
Show X12-850 Fields on Material Issue
-
This Work Order module options (Setup > Work Orders > Options) must be enabled:
-
Create Requisitions Instead of Purchase Orders from Material Issues
-
You need to know the Catalogue value from the material's vendor, or some other identification value in order to create a requisition for the material.
-
Open the requisition to which you want to add a material-on-the-fly line item.
-
Select the form tab that contains the Requisition Line Items grid.
-
Click the New Line Item button at the top of the grid.
-
Select the Issue tab.
-
By default, the Issue To value is set to Warehouse. However, you cannot issue a material entered on-the-fly to a warehouse, so you need to change the Issue To value to one of the four other choices in the Issue To drop-down menu.
The label for the field below the drop-down menu changes to match your selection above (for example, "Resource", if you chose Resource in the drop-down menu). Enter the appropriate value into this field.
-
Since the Vendor field won't be filled automatically for a material entered on-the-fly, you need to enter a valid Vendor ID, or click the Lookup button to search for and select the material's vendor.
If you know that the vendor you need to tie to this material isn't in the database already, you can click the entry toggle button next to the Vendor field, which changes the Vendor fields to the Name, Address, and Phone Number fields. Enter values for all three of these fields.
-
Select the Main tab again to enter information about the material itself.
-
Skip the Item field.
-
Enter a Description of the material-on-the-fly line item.
When you leave the field, a confirmation window opens.
-
Select Material on the Fly.
-
Enter a Unit Cost value for the material.
-
In the Quantity field, enter how many of the items you need.
-
Select a Unit of Measure from the drop-down menu.
-
In the Order Factor field, enter the quantity of this material that is contained in the order unit.
If you order a box of pencils where there are 24 boxes per carton, the Order Factor would be 24.
-
If necessary, specify a date in the Date Needed field.
-
If there are any additional notes you want to add for this line item, click the Notes tab and enter your comments into the Notes field.
-
When you're done filling in the line item information, click Save. Click Another to save this line item and add additional line items.
Now that the requisition has line items associated with it, the requisition is ready to be sent for approval. Once it is approved, you will be able to generate a purchase order from the requisition.
