Generate a Manual Purchase Order

You can manually generate purchase orders based upon warehouse and the number of materials in the selected warehouse.  When you manually generate a purchase order, TMS also creates a requisition so that there are no gaps in the purchasing process. To manually generate a purchase order from a requisition, follow these steps.

  1. From the Purchasing menu, go to Purchasing > Manual PO Generation.  The Purchase Order Generation screen opens.  The Requisition Query tab is selected.

  2. In the Requisition Query tab, enter the defining criteria for the requisition you want to generate a purchase order from.  You must have at least one  requisition in order to generate a purchase order.

  3. Click Execute.  The Generation List tab opens.

  4. Select your Warehouse.  The warehouse you choose here is the "ship to" warehouse.

  5. Check the box next to a material requisition to select it for manual purchase order generation.  If you want to select all of the material items for purchase order generation, then click the Select All button.  If you want to remove your selections, select the Unselect All button.

  6. After you make your selections, click the Generate button.

  7. A message box confirming your purchase orders were created opens.  TMS generates one purchase order per vendor represented on the material requisition that you selected.  The newly generated purchase order number is the next sequential requisition number.  The newly generated purchase order Description is always Generated PO.

  8. Click Close.  The Purchase Order Generation screen changes.  The requisition you selected for purchase order generation isn't available in the list.

In the newly generated purchase order:

  • The Ship To is the warehouse from the requisition used for purchase order generation.

  • The Account is the account from requisition used for purchase order generation.

  • The Vendor is the vendor in use.

  • The Status is Pending.

  • The Sub Status is READY.

The Error Log

You might find that you receive a number of Line Item Errors in the Purchase Order Generation pop-up window. If this is the case, click the View Log button in the toolbar.  The View Log button launches the Purchase Order Generation Log dialog box.  Review the log for errors.

You can truncate the log file entries by entering a number in the Remove entries greater than number of days field and clicking the Truncate Now button.
