Line Items From Materials-on-the-Fly

Update Notice:

The content below has been updated to reflect functionality from the latest maintenance release. There may be differences in the functionality available to you, in the version of TMS you are using.

In addition to using inventoried and non-stock materials for line items, you can also create line items from a material you create on-the-fly.To do so, follow these steps.

  1. Open the purchase order to which you want to add a material-on-the-fly line item.

  2. Select the form tab that contains the Line Items grid.

  3. Click the New Line Item button at the top of the grid.
  4. By default, the Issue To value is set to Warehouse. However, you cannot issue a material entered on-the-fly to a warehouse, so you need to change the Issue To value to one of the four other choices in the Issue To drop-down menu.

  5. Once you change the Issue To value, the label for the field below the drop-down menu changes to match your selection above (for example, "Resource", if you chose Resource in the drop-down menu). Enter the appropriate value into this field.

  6. Next, you need to enter information about the material itself. Go up to the Description field and enter a description of the material-on-the-fly line item.

  7. Tab or click off of the Description field.

  8. A confirmation pop-up window opens. In the pop-up window, select Material on the Fly.

  9. In the Quantity field, enter how many of the items you need.
  10. Enter a Unit Cost value for the material.

  11. Select a Unit of Measure from the drop-down menu.

  12. In the Order Factor field, enter the quantity of this material that is contained in the order unit. (If you order a box of pencils, but there are 24 boxes per carton, the Order Factor would be 24.)

  13. If necessary, enter additional information into the fields on the Details tab.

  14. If there are any additional notes you want to add for this line item, click the Notes tab and enter your comments into the Notes field.

  15. When you're done filling in the line item information, click Save.  Click Another to save this line item and add additional line items.

Now that the purchase order has line items associated with it, it is ready to be sent for approval. Once it is approved, you will be able to generate the purchase order.
