Set Form Security from the Form Manager

The second method for setting form security is via the Form Manager screen. This screen allows you to set permissions for standard, system forms as well as custom, user-created forms. However, only users that are part of the "System Users" user group have access to this screen.

To set form security, follow these steps:

  1. Setup > Form Manager.

  2. Select the Segment in which to look for a form.

All standard forms, like Work Orders (TMS Enterprise), exist in the System Segment.

  3. Select the Module in which the form exists.

The grid shows all forms in the selected segment and module.

  4. Click Edit next to the form you want to modify.

  5. In the Permissions dialog box, click Add.

The Add Permissions Identity pop-up window lists all users and user groups in the TMS database.

  6. Select an individual user or a user group.

  7. Click Apply.

If the form's owner (creator) doesn't already have permissions listed in the Permissions box, when you select a user/group in step 5, they are added. This set of permissions cannot be adjusted.

  8. Select the user/group you just added to the permissions list and their permissions are displayed for the form's Use

  9. By default, Use permissions are marked as Allow for the user/group you added. Disable this permission, if necessary

  10. Click Apply

Once you add a user or user group to the permissions list, all other users and groups (other than the form's owner) are restricted from use of the form. If you want everyone but a specific user/group to be able to use the form, you need to add all other groups to the permissions list and grant them the appropriate permissions.
