Contract Edit - Main

There are three sections in the Main tab of the Contract Edit screen.  They are Contract Information, Contract (depending upon what you chose as the contract Type in the Contract Create screen) and Schedule.

Field Definitions

  • Contract Number - The Contract Number is assigned by the TMS user when the contract is created. It cannot be modified in the Contract Edit screen, unless you have Admin rights in the Contracts module.

  • Description - This required field contains a brief description of the contract.  For example: Siemens Tech Support - CT, MRI, and Primus.

Contract Information

  • Segment, Type, Status, Account, and Category and Sub Category are required fields.

  • Segment - This required field contains the segment of data that you are currently accessing.  This is usually defaulted and depends on your TMS User ID. Segment can't be changed in the Edit screen.

  • Type - This required field contains the Type of contract.  TMS has three types of contracts:

  • My Customer (VC) - In this scenario, you are a service organization providing only direct services to one or more clients.
  • My Sub Contract (SC) - In this scenario, you are an independent service organization, providing both direct and sub-contracted services to one or more clients.
  • My Vendor (CC) - In this scenario, you are the customer and a contracted vendor is providing a service.  A very large percentage of TMS customers fall into this category.
  • Status - This required field contains the current Status of the contract.  For example: Active, Expired, and In Negotiation.

  • Account - This required field contains the account associated with the contract.

  • Category - This required field contains the Category of the contract.  This field is used to categorize the contract for querying and reporting.  For example: Service, Emergency Service, Labor, and Legal.

  • Sub Category - This required field contains the Sub Category of the contract.  This field is used to categorize the contract for querying and reporting.  For example: if Category is Service, then Sub Category is Annual.

My Customer (VC), My Sub Contract (SC), or My Vendor (CC)

What is available here depends upon the contract Type.

  • If the Type is My Customer (VC),  then you can select a Customer Name from the Customers module by clicking on Lookup.  The Lookup button launches the Customer Query screen.

Lookup launches the Vendor Query screen.  You can select a Customer Name from the Customers module by clicking on Lookup.   From here Lookup launches the Customer Query screen.

  • If the Type is My Vendor (CC), then you can select a Service Provider from the Vendors module by clicking on Lookup.   Lookup launches the Vendor Query screen.

  • External Contract Number - If you have an External Contract Number for any Type of contract, record that here.

  • Service Provider - This field contains the vendor who provides the service.  Only vendors checked as Warranty/Service type vendors can be entered into this field.
