Add, Edit, or Move a Site

Add sites from search rings on the search ring home page. This makes the site appear on the search ring home page in the Sites section of the left navigation pane. Edit site details or move a site to another search ring or org unit.

Add a site

If the site number is already in the system, the Number is Not Unique in Portfolio error appears. If this site uses the same number as an archived site, and you need that number, unarchive the old site, change its number, then archive it again.

  1. Go to a search ring (or other parent unit) home page.

  2. In the Sites section of the left navigation pane, select Add.

  3. Select a Type, then select Next.

  4. Complete each section of the form. Select Pre-populate Parent Info to populate fields from the search ring.

    Site Details

    • Name: Enter prefixes or suffixes to make the name unique.

    • Store Number: Enter prefixes or suffixes to make the name unique.

    • Status: Select a status.

    • Type: Select a type to fill the Extended Attributes section based on the EA component types set up by your administrator.

    • Ownership Type

    • Latitude and Longitude: Enter in DMS format in the upper fields or enter latitude and longitude as a decimal in lower fields.

    Address

    • Enter street address, City Name, Country, State, County, Zip.

  5. Select Finish.

    The site appears in the Sites section of the search ring home page. Any projects or libraries that your administrator has set up for automatic creation are added to the site.

Edit a site

Edit a site to update its details. Siterra records site changes in the log.

  1. Navigate to a Site home page.

  2. Select Edit in the toolbar.

  3. Make your changes.

  4. Select Finish.

    The Site home page refreshes to display the changes.

Move a site

Move a site between units and search rings with the import tool.

Before you move a site, obtain the numbers of the records:

  • Site Number: Located on the site home page.

  • Search Ring Number: Number of the destination search ring.

  • Org Unit Number: Select BrowseProperty, select the name of the org unit in the navigation pane, and then select Details to display the Number of that org unit.

  1. Select ToolsImport > Add Import.

  2. Complete the import dialog that appears.

    • Name: Enter a name for the import.

    • Type: Select Site.

    • File Type: Select a file format. For example, Excel (.xlsx).

  3. Select Download Schema to download the file.

  4. Open the file in Excel, then enter the values for the site depending on your scenario.

    • Move from a search ring to an org unit or from one org unit to another:

      • Number: Number of the site to move.

      • Organization Unit: Number of the destination org unit.

      • Search Ring: If the site currently belongs to an org unit, enter ~EMPTY~ to clear it.

    • Move from an org unit to a search ring or from one search ring to another:

      • Number: Number of the site to move.

      • Organization Unit: If the site currently belongs to an org unit, enter ~EMPTY~ to clear it.

      • Search Ring: Numbers of the current search ring (if applicable) and the destination search ring.

  5. Save the file and return to the import dialog.

  6. Select Update existing objects.

  7. Select Select.

  8. In the dialog that appears, navigate to your file, select it, and then select Open.

  9. Select Save.

  10. If the dry run shows no errors, select Execute to apply the changes in the import.
