Role sets

A role set includes one or more responsibility sets that you assign to a task or subtask for one or more units. Use role sets to define default responsibilities for each task in projects created from a project template.

In Admin, use Role sets to assign roles to schedule templates by unit hierarchy. This lets you reuse one schedule template across different role and hierarchy combinations.

ClosedRole-to-task assignments on existing projects

Projects always use role-to-task assignments from the schedule template they were created from. You can't override task-to-role mappings for an individual project. Data fixes, Project Retrofit, and the Bulk Object Updater (BOU) don't change the role assigned to a task in a single project.

When you change the role assigned to a task in a schedule template, the change applies to all projects that use the template, including existing and new projects. No further action is required.

If different projects need different role-to-task mappings from the same template, use role sets to define variations by unit hierarchy. Changing the active role set for a unit updates the assignment used for projects under that unit.

Add a role set

  1. Go to Admin > Schedule Template, then select a project template.

    The schedule template appears.

  2. Select the Role sets tab.

    The template tasks and default role sets appear.

  3. Select Add New Role Set.

    The available roles appear, and a new Role set column is added.

  4. Enter a name for the Role set.

  5. Select the ellipsis (More options), then select Assign Units.

    The Assign Units dialog box appears.

  6. Select the units you want the role set to apply to, then select Apply.

    The number of units updates. To change the selection, select the Units text.

  7. Select the cells for the subtasks you want to assign roles to.

  8. Select roles from the Roles list, then select Add.

    The roles are added to the selected tasks. To remove a role, select X next to the role name.

  9. Select the ellipsis (More options), then select Save Role Set.

    A confirmation dialog box appears.

  10. Select OK.

Edit a role set

  1. Go to Admin > Schedule Template, then select a project template.

    The schedule template appears.

  2. Select the Role sets tab.

    The template tasks and default role sets appear.

  3. Select Edit Role Sets.

    The available roles appear, and you can edit the role sets.

  4. To rename a role set, enter a new name.

  5. Change units:

    1. Select the ellipsis (More options), then select Assign Units.

      The Assign Units dialog box appears. You can also hide, clone, or delete a role set from this menu.

    2. Select the units you want, then select Apply.

      The number of units updates.

  6. Change roles:

    1. Select the cells you want to update.

    2. Select roles from the Roles list, then select Add.

      The roles are added to the selected tasks.

    3. To remove a role, select X next to the role name.

  7. Select the ellipsis (More options), then select Save Role Set.

    A confirmation dialog box appears.

  8. Select OK.
