Set and Retract Under Change

Document controllers and project owners can assign documents in the For Routing status to internal users for modifications. This ensures no other users can make changes while someone else is editing the documents. You can assign documents to contributors, document controllers, project owners, or to yourself to indicate you are editing it, preventing further changes by others.

When a document is in the Under Change status, only the assigned user can make changes in it. You can't send, release, or submit a document while it is under change.

Prerequisites

To set documents under change, your tenant administrator must allow the Upload new revisions setting.

Set documents under change

  1. Add documents in the For Routing status to your clipboard.

  2. In the toolbar, click Menu "".

  3. Click Set Under Change.

  4. In Assign change to, select a user to assign the document.

  5. Click Assign.

    The document statuses change from For Routing to Under Change.

Retract documents under change

When users can’t complete tasks on documents in the Under Change status, document controllers and project owners can retract the documents. You can either accept or discard the users' changes.

  1. Add documents in the Under Change status to your clipboard.

  2. In the toolbar, click Menu.

  3. Click Retract Under Change.

  4. Choose whether to accept or discard the assignee's changes.

  5. Click Retract.

    The document statuses change from Under Change to For Routing.
