Set Smart Pane Filter (Criteria)

Smart Pane Criteria dynamically filters records displayed in a report. Smart Pane Criteria are supplemental to criteria defined in the Report Criteria window. This means that Smart Pane Criteria will further filter the report data displayed as you view the report.

Options available in the Smart Pane vary based on how the report is configured. There may be only one field that you can filter dynamically. Alternatively, multiple fields may display, allowing you to add multiple criteria until the desired results are achieved. Criteria listed in the Smart Pane can be cleared to start the filtering process again as needed. As criteria are defined, the Report Preview window refreshes with the newly filtered data. Report Criteria (if displayed on the report) is updated to show all criteria in effect.

The data displayed in the Smart Pane depends on the type of field selected from the Criteria field:

  • Lookup Fields: For fields validated by a lookup table, such as Work Order Priority, the acceptable values for the field are displayed in a list below the box. Single or multiple values can be selected for filtering.

  • Module Fields: For fields associated with their own module, such as Repair Center, Shop, or Department, the data displayed are based on a Module Report that can actually be modified using the Setup and Criteria buttons at the top of the Smart Pane. Single or multiple values can be selected for filtering.

  • Date Fields: For date fields, you can filter using a list of pre-configured date ranges. You can only select one filter at a time, the Multiple Selections check box will not work.

  • Asset Fields: For fields maintained in the Asset, Asset Classification, or Asset Hierarchy List, the respective Asset List displays. Single or multiple values can be selected for filtering.

Set Smart Pane Criteria for a report displayed in the Report Preview window:

  1. If the Smart Pane is not visible, click the Show/Expand control on the far left of the window.

    The Smart Pane displays.

    If the Show/Expand control is not visible, the Smart Pane has been disabled on this report. To change this setting, go to the Smart Pane sub-tab.

  2. Select the field on which Smart Pane Criteria will be based.

    Depending on settings made on the Report Setup > Smart Pane sub-tab, a field may be selected by default.

    The Smart Pane updates to reflect the options for that field.

  3. Select the Multiple Selections check box if you want to select multiple values for the same field.

  4. Select the value you want to add it as criteria to the currently displayed report.

    As the value is selected, the Report Preview window refreshes with the new Smart Pane Criteria in effect. If the report is configured to Display Report Criteria, this criteria will be added to the Report Criteria Box.

  5. If you selected the Multiple Selections check box in step 3, select another value from the list.

    The new value is added to the Report Criteria Expression and the Report Preview window refreshes. If multiple values were not specified in step 3, clicking another value will update the criteria using the new value.

  6. To add criteria for a different field, repeat steps 2-5.

    If you want to clear the current criteria before entering criteria for the new field:

    • Click the Clear link at the top of the Smart Criteria field.

    • Click Clear All to clear multiple Smart Criteria Expressions.

      The Report Preview window refreshes, and the criteria are removed.
