Report Groups

In the left panel of the Report List are the report groups that organize the display of available reports. Selecting a report group refreshes the reports displayed in the Results List with reports from that group.

  • Base Groups, which come standard with Maintenance Connection, organize reports into logical groupings. There is a group (folder) for each module of the system, such as Asset Reports and Customer Reports. In addition, there are multiple groups for different types of Work Order Reports. Report Groups are listed alphabetically, with the exception of Work Order Report Groups, which are listed first.

    At the top of the Base Groups List are options for All and Most Requested:

    • The All option returns reports from all report groups that match the currently selected filter criteria.

    • The Most Requested option returns the 20 reports that have been run most frequently.

  • The Custom Groups tab provides access to custom report groups. These custom groups give you an quick way to locate important or frequently accessed reports. Only users with access to Custom Report Groups see this tab.

    Users with permission to create report groups can create an unlimited number of custom report groups. You can create a new report group, edit a report group, or delete a report group. Custom groups can be defined as public or private. Additionally, they can be marked as Favorites, allowing you and other members of your repair center to access them from the Favorites Menu.

ClosedCreate New Report Group

  1. Click the Custom Groups tab.

  2. Right-click any existing custom report group.

    The Report Group Menu displays.

  3. Select New Report Group.

    The New Report Group window opens.

  4. Select the repair center managing this report group from the Managed By field.

    Users from this repair center will see this Report Group displayed by default. If no specific repair center needs to be designated, select All Repair Centers.

  5. Enter a Report Group ID and Report Group Name in the appropriate fields.

    The Report Group ID must be unique and should not include any symbols. The Report Group Name is displayed in the Report Group List.

  6. Select or clear the following check boxes:

    • Private Group: Report Groups marked as Private are only displayed to the member that creates them.

    • Favorite Group: Report Groups marked as a Favorite display in the Favorites Menu, providing quick access to commonly accessed reports.

      If a Report Group is associated with a specific Repair Center, it will only show on the Favorites Menu if the user is associated with that Repair Center. If you want the Report Group to be available to multiple repair centers, it should not be associated with a specific Repair Center.

  7. Add reports to your report group:

    1. To add reports from an existing group, select the group from the field below the Report Group Name field.

      The available reports refresh, showing only reports from that group.

    2. Choose between two options:

      • Select the report from the list on the left and click the Move button A white button with a black arrow pointing right..

      • Double-click the report name.

        The report name displays in the Reports Assigned to Group List on the right.

    3. Repeat as necessary.

      To remove a report that was added in error, select the report in the list on the right and click the Remove button A white button with a black arrow pointing left..

  8. Click the Apply button.

    You are returned to the Report List, and your new custom report group displays.

ClosedEdit Report Group

You can modify the name of a Report Group or edit its content. Reports can also be added into a group or removed from a group from the Report Setup – Groups tab.

To edit a report group:

  1. Right-click the report group.

    The Report Group Menu displays.

  2. Select Edit Report Group.

    The Edit Report Group window opens.

  3. Make your changes.

    • Private Group check box: Report Groups marked as Private are only displayed to the member that creates them.

    • Favorite Group check box: Report Groups marked as a Favorite display in the Favorites Menu, providing quick access to commonly accessed reports.

      If a Report Group is associated with a specific Repair Center, it will only show on the Favorites Menu if the user is associated with that Repair Center. If you want the Report Group to be available to multiple repair centers, it should not be associated with a specific Repair Center.

  4. Add a new report to this report group:

    1. Locate the report you want to add.

      To add reports from an existing group, select the report group from the field below the Report Group Name field. The available reports refresh, showing only reports from that group.

    2. Choose between two options:

      • Select the report in the list on the left and click the Move button A white button with a black arrow pointing right..

      • Double-click the report name.

        The report name displays in the Reports Assigned to Group List on the right.

    3. Repeat as necessary.

  5. Remove a report from this report group:

    • Choose between two options:

      • Select the report you want to remove from the list on the right and click the Remove button A white button with a black arrow pointing left..

      • Double-click the report name.

        The report name is removed from the list.

  6. Click the Apply button.

    You are returned to the Report List.

ClosedDelete a Report Group

  1. Click the Custom Groups tab.

  2. Right-click the group you want to remove.

    The Report Group Menu displays.

  3. Select Delete Report Group.

    A dialog box opens, asking you to confirm your choice.

  4. Click the Yes button.

    You are returned to the Report List, and the Report Group is deleted.
