Calendar Sharing

Calendars can be shared to a calendar application, such as Microsoft Outlook, so that work orders or assignments display on them. Once shared, work orders synchronize to the selected calendar as they are created according to your calendar's settings. These work orders or work order assignments appear either as all day events if no time was specified, or they are mapped to the specified duration. The calendar items display the work order ID, reason, asset ID and asset name.

  1. Click the Share button in the calendar header bar.

    A dialog box opens allowing you to define sharing options.

  2. Select the Enable Sharing for this Calendar check box.

  3. Click the Click here to share this calendar with your default calendar program link to share with your default calendar or pick a calendar application for sharing.

  4. Follow any steps required by your calendar application.

    These steps vary depending on the calendar application chosen. The following information is provided for two common calendar applications:

    • For Microsoft Outlook:

    1. If you receive a warning asking you to confirm that you wish to allow Maintenance Connection to open your calendar program and proceed, click Allow.

      When outlook opens, it asks you to confirm that you wish to add this calendar and subscribe to updates.

    2. Click Yes.

      The imported calendar should open and display as an Other or Shared Calendar. The calendar is named Maintenance Connection by default. Assignments without a designated assignment time display as all day events. Assignments with a specific time appears at the correct time, with a duration matching the assignment hours. Once shared, your calendar is updated from Maintenance Connection based on synchronization settings in your calendar program.

ClosedStop Sharing a Calendar

  1. Open the calendar that has been previously shared.

  2. Click the Share button.

    A dialog box opens allowing you to define sharing options.

  3. Clear the Enable Sharing check box.

  4. Click Close.

  5. Open the calendar application you were sharing with and remove the reference to the Maintenance Connection calendar.

    If you do not remove the reference you may receive error messages from your calendar application when it tries to sync with the calendar.

    In Microsoft Outlook, right-click the calendar in your calendar list and select Delete Calendar.

ClosedDisable Calendar Sharing

If you have shared multiple calendars and no longer want to, you can disable all shared calendars in one step instead of locating each one and individually turning off calendar sharing.

  1. Select Tools > System > Disable All Calendar Sharing.

    A dialog box opens, asking you to confirm your choice.

  2. Click Apply.

  3. Open the calendar application you were sharing with and remove the references to the Maintenance Connection calendars.

    If you do not remove the references you may receive error messages from your calendar application when it tries to sync with the calendars.

    In Microsoft Outlook, right-click the calendar in your calendar list and select Delete Calendar.
