Inventory and Stock Room Preferences

Inventory module preferences allow you to tailor the user interface and behavior of the system to best reflect the business process at your organization. Default preferences can be set at the level of the Repair Center, and then further modified to reflect your personal preferences.

To access Inventory or Stock Room module preferences:

  1. Select Tools > Preferences from the Main Menu.

The Preferences for the currently accessed module will be displayed.

  2. Click the Inventory or Stock Room folder in the Module/Category menu on the left.

The page refreshes, displaying preferences for the selected module.

The following preferences are available for the Inventory and Stock Room modules:

  • Barcode Format: Barcode format to be used. This format is displayed on the purchase order.

  • List: List preferences are available for each module in the system. These preferences affect the records shown in the List pane. Preferences for the Inventory module include:

    • Toggles to determine when results should be refreshed.

    • The number or records that should be displayed per page on the Inventory List.

    • Options to define up to three types of conditional formatting to alter the appearance of records in the Inventory List. Access Accruent Access for a document that provides detailed instructions and examples.

  • Part Checkout: Preferences that determine the fields that should be displayed or required on the Part Checkout feature.

  • Settings: Settings that impact the behavior of the Inventory module and determine:

    • Whether or not the Internal ID should be displayed in lists and lookups instead of Item ID.

    • Whether or not Item ID should be automatically generated and displayed each time a new inventory record is created.

    • The formula to be used for automatic reorders.

The default formula (toggled to yes) takes current inventory levels into account when calculating the reorder quantity. For example, if the current available inventory for an item was five order units below the reorder point, this deficit (five units) would be added to the designated reorder quantity when the order was generated.

If the preference is set to no, the designated reorder quantity, as defined on the Inventory Item Stock Room page, will be used regardless of current inventory levels.
