Accruent Lucernex 24.07 Release Notes

We're delivering this automatic upgrade to UAT (TRAIN) environments on June 28, 2024 and to production environments on July 19, 2024, with these highlights:

• ServiceChannel integration: Align real estate and facilities management teams to increase efficiency in routing maintenance activities to correct stakeholders by leveraging the RE information sent from Lucernex to ServiceChannel.

• Retainage: Choose a portion of a payment amount owed to a vendor to be retained until project completion. Track retainage at purchase order level on complex construction projects with multiple purchase orders and varying retainage agreements with different vendors.

Retainage

Lucernex can already be configured by your Accruent representative, to perform some retainage calculations at the project budget level. However, managing the complexity of modern construction projects with multiple purchase orders and varying retainage agreements with different vendors, requires tracking retainage at purchase order/contract level.

From this release, your Accruent representative can now configure Lucernex to track retainage at the purchase order level so that a different retainage percentage is applied to different purchase orders. Over the life of a project, retainage is tracked as a dollar amount deducted from each budget line of an invoice that is paid.

You can enter and edit retainage percentages dynamically. As vendors submit invoices, the correct retainage amount is withheld and accurately reflected in the financial records. This provides a clear record of retainage adjustments for each transaction over the project lifecycle.

Example Purchase Order scenarios now supported:

• Electrician vendor with no retainage

• General contractor with 10% retainage

• Plumbing and HVAC vendor with 5% retainage

• General contractor with 10% retainage for the first 75% of the project and then drops to 5% retainage for the final 25%.

You can configure the Retainage Amount and Previous Retainage amount to display as a column on your Payment Application.

ServiceChannel Integration

Integration between Lucernex and ServiceChannel is now available.

Your organization can now align real estate and facilities management teams to increase efficiency in routing maintenance activities to correct stakeholders by leveraging the RE information sent from Lucernex to ServiceChannel. This helps your organization align real estate and facilities management teams to increase efficiency in routing maintenance activities to correct stakeholders. Information is sent from Lucernex to ServiceChannel once per day in the form of a CSV file with responsibility records belonging to Landlord For example, HVAC Heating, Ventilation, and Air Conditioning = Landlord. ServiceChannel parses the file for deltas.

To use this integration, the ServiceChannel Integration feature toggle must be enabled in your organization. When the integration is enabled, the Service Channel Location ID displays in the Contract Abstract Info page. You can use this to link your lease Contract in Lucernex with the location and facility in ServiceChannel. Contact your Accruent representative who can help you configure this integration and the necessary page layout for contract responsibility records.

Cost Tracking Work Flow	The Change Order Work Flow title now displays Vendor Name if it is configured to display the Vendor and Read Only in Edit Form is selected for that field in the form layout.	LUC-11985

HTML tagging	HTML tagging that allows you to change the style of text content on page layouts and forms is improved so that the sTYPE_TEXTAREA type now supports HTML tagging in the same way as the sTYPE_TEXT type. Consistent tagging limitations and validation now applies to these field types: sTYPE_TEXTAREA sTYPE_CITY sTYPE_POSTALCODE sTYPE_SLOT_END_DATE sTYPE_STORE_PHASE sTYPE_SCHEDULE_STATUS sTYPE_ACTUAL_END_DATE sTYPE_ACTIVE_PHASE sTYPE_PHONE sTYPE_ENTITY_NAME sTYPE_ASSET_NAME This ensures only allowed HTML tags are accepted. Subregion	When you attempt to delete a subregion that is in use by a Facility or a Site, an intuitive error message now displays.	LUC-12302
