Reassign steps

If you are an Administrator, you can assign or reassign assignees, approvers, or notifiees of a Work Flow step.

Reassignment might be required when a step is created for Ad Hoc assignment and members of that entity don't have the required user class or job title or they are unavailable to complete the task.

If you are not an Administrator, you may have been granted reassignment privileges on some Work Flow steps.

A replacement approver must be a member of the associated entity.

To reassign a Work Flow step:

  1. On the Work Flow tab, click A small, white, square button with a plus symbol in its center. to expand the Work Flow .

    If a Work Flow step has no appropriate assignee, approver, or notifiee, the status of that Work Flow is ACTIVE (Invalid).

  2. Click Admin Reassign or Reassign.

    This link appears in the rightmost column of the step you need to work with. If a Reassign link is not shown, you do not have reassignment privileges for this Work Flow step. If you think you should see the link, contact your System Administrator.

    A window opens. A message at the top of the window indicates status and the requirements of this step.

    The Ad Hoc Member for this Work Flow is shown if the form that started the Work Flow has the Ad Hoc WF Assignee field. The currently assigned Ad Hoc member is selected in the field.

  3. Select the members you want to assign, approve or receive notifications in the appropriate Member List.

  4. Click the caret > to move the member to the Assignees, Approvers, or Notifiees field.

  5. Click Update.

    When each of your Work Flow steps meet the requirements set by your System Administrator, the Work Flows status shows ACTIVE (In-process).
