Create and edit a binder

ClosedPrerequisites

Before you can create a binder:

  • Your administrator must create a binder template. The template will either accept a set number of files for certain file types, or it will accept any number of existing files in the entity that belong to a supported file type.

  • At least one folder must exist in the Documents tab of the entity.

You can create binders based on the templates your administrator has configured. Templates may require you to choose a specific number of documents for a given file type, or allow you to add any number of existing supported files in the entity.

  1. Click Add Binder in the lower-right corner of the Binders table.

  2. Complete the fields:

    • Title: Enter a title for your binder.

    • Binder Template: Select the template you want for your binder. This determines the type and number of documents you can assign to the binder.

    • Folder for Generated Document: Select the folder where you want the generated PDF to be stored.

    • File Name: Enter the file name of the generated PDF.

  3. Click Add.

    The binder is added to your entity.

    If an assign documents link is shown in the Actions column, an AdHoc template is selected for the binder. The options you use to add and remove documents in an AdHoc binder differ from those where specific file types are required.

Add a document

  1. Click + next to the binder you want to add to.

  2. In the row of the file type that you want to add, click Select Document.

    If no rows are listed and an assign documents link is shown in the Actions column, see add and remove documents in an AdHoc binder.

  3. Optionally, upload a new document:

    1. In the Folders pane, select the folder where you want the document.

    2. Click Upload.

    3. Enter a Description for the document.

    4. Click Choose Files.

    5. Select the files you want and click Open.

    6. Click Upload.

  4. Navigate to the folder that contains the document you want to add.

  5. Select the document you want then click Select Document.

  6. Generate the PDF from the binder to see the changes.

Replace document

To replace a document which has been added to a binder:

  1. In the row of the file type where you want to replace the document, click Replace.

    If no rows are listed and an assign documents link is shown in the Actions column, see add and remove documents in an AdHoc binder.

  2. Optionally, upload a new document:

    1. In the Folders pane, select the folder where you want the document.

    2. Click Upload.

    3. Enter a Description for the document.

    4. Click Choose Files.

    5. Select the files you want and click Open.

    6. Click Upload.

  3. Navigate to the folder that contains the document you want to add.

  4. Select the document you want then click Select Document.

  5. Generate the PDF from the binder to see the changes.

Remove document

  1. In the row of the file type where you want to remove the document, click Unassign.

    If no rows are listed and an assign documents link is shown in the Actions column, see add and remove documents in an AdHoc binder.

  2. Generate the PDF from the binder to see the changes.

Add and remove documents in an AdHoc binder

When an AdHoc binder template is applied to a binder, you can add and remove documents from that binder.

Add a documents to an AdHoc Binder

  1. Click + next to the binder you want to add to.

  2. Click assign documents in the Actions column.

  3. Navigate to the folder that contains the documents you want to add.

  4. Drag each file you want from the Available documents pane to the Binder Documents pane.

  5. Click Finish.

  6. Generate the PDF from the binder to see the changes.

Remove documents from an AdHoc Binder

  1. Click assign documents link in the Actions column of the binder where you want to remove documents.

    The Assign Documents window opens.

  2. Right-click the document you want to remove.

  3. Click Remove.

    The document is removed.

  4. Click Finish.

  5. Generate the PDF from the binder to see the changes.
