Manage Folder Templates - Manage Folder Templates - Folder Administration

The Manage Folder Templates section allows you to create folder templates for the Documents page. The Documents page is common across the application. Once a template has been created, it can be applied to an entity as necessary. You can add multiple folder templates to the same entity. Folder templates are usually created at implementation, but they can be created on an ad hoc basis as necessary.

To quickly apply a folder template to multiple items in your portfolio, see the procedures on the Update Portfolio page.

To navigate to the Manage Folder Templates page:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Folder Templates link in the Folder Administration column.

    The Manage Folder Templates page opens.

  3. Follow a procedure below.

ClosedAdd Folder Template

To add a folder template:

  1. Click Add Folder Template in the lower-right corner of the Manage Folder Templates table.

    The Add Folder Template window opens.

  2. Enter the name of the template in the Folder Template Name field.

  3. Enter a description of the template in the Description field.

  4. Enter any notes about the template in the Notes field.

    Since templates are most often created at implementation, we highly recommend that you add notes about the context and reasoning for using this template in this field. This will help you and future system administrators understand the template's usage if the template is viewed at a later date.

  5. Select the check boxes next to the modules for which you want the template to be available.

  6. Select the portfolio you want this template to be available for from the Available for the following Portfolios / Capital Programs field.

    All Portfolios / Capital Programs is selected by default. You can select multiple options.

    An example use case is international vs. national portfolios: you might specify that a particular folder template may be used for international portfolios, while another template may be used for national portfolios.

  7. Click Add.

    The window closes, and the page refreshes. The template appears in the Manage Folder Templates table.

ClosedEdit Folder Template

To edit a folder template:

  1. Click Edit in the Actions column of the record.

    The Edit Folder Template window opens.

  2. Make your changes.

  3. Click Update.

    The window closes. Your changes are saved.

ClosedDelete Folder Template

To delete a folder template:

  1. Click Delete in the Actions column of the record.

    A dialog opens, asking you to confirm your choice.

  2. Click Yes.

    The page refreshes. The template is deleted.

ClosedModify Folder Structure

To modify the folder structure of a document template:

  1. Do one of the following:

    • Click Modify folder structure link in the Actions column of the template you want to modify.

      The Folder Structure page opens. Your template appears as selected on the page.

    • Click Folder Structure tab.

      The Folder Structure page opens.

  2. Follow the procedures on the Folder Structure page.

ClosedUpdate Portfolio Items

To push new folder templates and changes to existing folder templates to multiple entities across your portfolio:

  1. Do one of the following:

    • Click Update Portfolio Items link in the Actions column of the template you want to modify.

      The Update Portfolio page opens. Your template appears as selected.

    • Click Update Portfolio tab.

      The Update Portfolio page opens.

  2. Follow the procedures on the Update Portfolio page.
