Update Portfolio Tab - Manage Schedule Templates

The Update Portfolio tab is where you will go to push changes on your schedule templates across the entities in your portfolio.

Keep the following information in mind:

  • Only tasks with a status of Not Begun will be updated.

  • If there are new tasks in a template, they will be added to the schedule when the Update a Template procedure is performed.

To navigate to the Update Portfolio tab:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Schedule Templates link in the Company Administration column.

    The Schedule Templates page opens.

  3. Select the Update Portfolio tab.

  4. Follow a procedure below.

ClosedFilter the Results on the Update Portfolio Tab

To filter the results that appear on the Update Portfolio tab:

  1. Click Entity Filters in the upper-left corner of the table.

    The Entity Filter window opens.

  2. Select the portfolio by which you want to filter from the Portfolios field.

    You can select multiple portfolios.

  3. Select or clear the check boxes for the entities by which you want to filter.

  4. Click Apply Filters.

    The window closes. The filters are applied.

ClosedSearch for an Entity

To search for a specific entity to update:

  1. Enter the name of the entity in the Search in the upper-right corner of the page.

  2. Click Search.

    The results matching your search criteria appear on the page.

ClosedUpdate a Template

Important!

This action will push bulk changes to your portfolio. One of the impacts of this action is that if your project managers have deleted tasks from their schedules, this action will re-add those tasks to their schedules. If you are only deleting or renaming a task in a schedule template, see the Update a Task procedures below.

To update a template on entities in your portfolio:

  1. Select the Update From Template option at the top of the page.

  2. Select the schedule template you want work with from the Update From Template field.

  3. Select or clear the following check boxes:

    • Update Assignees for not begun tasks?- Select this check box to update the assignees for tasks which have not yet begun.

    • Update Notifications for not begun tasks?- Select this check box to update the notifications for tasks which have not yet begun.

  4. Select the Only show entities that will be changed?check box to only display entities that would be impacted by the template update.

  5. Do one of the following:

    • Click <apply changes> link in the Planned Changes column to apply changes to entities one-by-one.

    • To apply changes in bulk:

      1. Click the drop-down arrow A small gray button with a downwards-pointing arrow on it. next to the label of the Apply Changes column.

        A menu opens.

      2. Select the option you want:

        • Apply for all grid rows: Apply changes to all entities in the table.

          This also applies changes to entities on subsequent pages. Check the page tools at the bottom-left corner of the table to see how many pages of entities currently exist in the table. You may need to filter the results.

        • Apply for grid rows displayed: Apply changes to all records displayed on the current page.

        • Clear processing from all grid rows: Clear pending changes from all entities in the table.

        • Clear processing from grid rows displayed: Clear pending changes from all records displayed on the current page.

  6. Click Apply Changes at the bottom of the page.

    A loading page opens.

  7. Click Done once the loading page indicates that the update is complete.

ClosedUpdate a Task

Note:

This action is recommended if you are making changes to only a few tasks.

To rename or delete a single task:

  1. Select the Update From Template option at the top of the page.

  2. Select the schedule template you want work with from the Update From Template field.

  3. Select the Update Task Named option at the top of the page.

  4. Do one of the following:

    • If you want to delete the task, select the Delete Task?option.

    • If you want to rename the task:

      1. Select the Rename Task option.

      2. Enter the new name for the task in the Rename Task field.

  5. Do one of the following:

    • Click <apply changes> link in the Planned Changes column to apply changes to entities one-by-one.

    • To apply changes in bulk:

      1. Click the drop-down arrow A small gray button with a downwards-pointing arrow on it. next to the label of the Apply Changes column.

        A menu opens.

      2. Select the option you want:

        • Apply for all grid rows: Apply changes to all entities in the table.

          This applies changes to entities on subsequent pages. Check the page tools at the bottom-left corner of the table to see how many pages of entities currently exist in the table. You may need to filter the results.

        • Apply for grid rows displayed: Apply changes to all records displayed on the current page.

        • Clear processing from all grid rows: Clear pending changes from all entities in the table.

        • Clear processing from grid rows displayed: Clear pending changes from all records displayed on the current page.

  6. Click Apply Changes at the bottom of the page.

    A loading page opens.

  7. Click Done once the loading page indicates that the update is complete.
