Manage Budget Templates - Budget Templates

A budget template is the record where your budget line items are configured. The Manage Budget Templates page allows you to create, edit, delete, or download a budget template.

You can only apply one budget template to an entity.

To navigate to the Manage Budget Templates - Budget Templates page:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Budget Templates link in the Company Administration column.

  3. Follow a procedure below.

ClosedBudget Component Hierarchy

Budgets are broken down into parts to make them easy to manage. These are the components from the highest point to the lowest point in the hierarchy:

  • Budget Template: Where your budget line items are configured.

  • Budget Type: Displays as a column in your budget. When you add values to a line item in your budget, you enter a value in a Budget Type column.

  • Budget Summary: The Budget page displays a snapshot of the budget information and is a sub-module of each module except the Contract and Equipment Contract modules. You can select a template that determines the columns or types that display.

  • Budget Views: Limits the line items that display by user class.

  • Budget Index Variables: Use to modify the default value of one or more budget line items based upon a predefined variable condition. For example, if you know that your typical construction costs are less for projects in a certain region, you can create a Construction Costs variable that allows your project managers to adjust certain budget columns by a percentage value.

ClosedAdd a Budget Template

To add a budget template:

  1. Click Add Budget Template in the lower-right corner of the Budget Templates table.

    The Add Budget Template window opens.

  2. Enter the name of the budget template in the Budget Template Name field.

  3. Enter a description of the budget template in the Description field.

    We recommend that you add descriptions to every template, layout, or field you create in Lucernex, so that subsequent administrators will understand the purpose and context of the items you create.

  4. Enter notes in the Notes field.

  5. Do one of the following:

    • Select the Lock all budget groups check box if you want to require your users to enter budget values at the line-item level.

    • Clear the Lock all budget groups check box if you want to allow your users to choose between entering budget values at the line-item level OR at the group-level.

  6. Select the check boxes for each entity type you want this template to be available for in the This Template will be available in section.

  7. If you want to base this template on an existing budget template, select the budget template you want to duplicate from the Duplicate Budget Template from field.

  8. Select the portfolio you want this budget template to be available for from the Available for the following Portfolios / Capital Programs field.

    All Portfolios / Capital Programs is selected by default. You can select multiple options.

  9. Click Add.

    The window closes. The budget template appears in the Budget Templates table.

To edit a budget template:

  1. Find the budget template you want to edit.

  2. Click Edit link in the Actions column of the budget template you want to edit.

    The Edit Budget Template window opens.

  3. Make your changes.

  4. Click Update.

    The window closes.Your changes are saved.

ClosedDelete a Budget Template

To delete a budget template:

  1. Find the budget template you want to delete.

  2. Click Delete link in the Actions column of the budget template you want to delete.

    A dialog opens, asking you to confirm your choice.

  3. Click Yes.

    The dialog box closes, and the page refreshes. The budget template is deleted.

Downloading a budget template allows you to import the budget into another Lucernex environment. This functionality can be used to build and test a budget template in Train which can then be imported into Production. To learn how to import a budget template, see the Import Data page.

To download a budget template:

  1. Find the budget template you want to download.

  2. Click Download link in the Actions column of the budget template you want to download.

    A system download dialog box opens.

  3. Save the file to your computer in a place where you can find it again in the future.
