Document Download Reports

You can create a report that allows you to download documents attached to entities individually or in bulk.

Relevant Fields

  1. The Folder Template Name allows you to filter your report to a specific folder template.

    You can find this field in the Available Fields > Documents > Folders folder.

  2. The Parent Folder Name allows you to filter your report to a specific folder.

    You can find this field in the Available Fields > Documents > Folders folder.

  3. The Download Link allows you to download documents individually or in bulk.

    You can find this field in the Available Fields > Documents > General Information folder.

You can also download documents that are attached to Document fields on page layouts. This includes out-of-the-box document fields—such as the Document field on the Covenants page—and document fields that have been added to your firm fields on the Manage Data Fields page.

  • To add an out-of-the-box document field, add the Associated Document for the record type.

  • To add a custom document field, search for the field name in the Fields pane.

Report Behavior

After adding the Download Link to your report and running the report, the following behavior can be triggered:

  • If you click Download button A gray button with an arrow pointing down to a computer. to the right of the document name, the individual document will download.

  • If you click Download All Documents A gray button with an arrow pointing down to a computer. in the header of the Download Link column, all documents in the report will be downloaded in a .zip file. This .zip file will have the folder structure of the folder template but will be filtered to match the filters of your report.

    This removes any special characters from the file names of the files being downloaded. This behavior is because special characters are not compatible with .zip files.

    Important!

    If you choose to download all documents in the report, the download size is limited to 600 MB. To change this limit, contact your Accruent representative.

    The Download All Documents is not accessible in dashboard reports or in the Preview pane of the Report Builder.
