Budget View Controllers

By default, when the first user enters a value into a budget column on an entity, their submission determines whether subsequent users can enter values at the group-level or line-item level for all other budget columns in the budget. This means that if the first user entered a value at the group-level—in the purchase order budget column, for example—all subsequent users must enter their values at the group-level. This is true even if it would be better to enter values at the line-item level—such as in a change order budget column.

However, you can also control which groups or line items can be edited per budget column. This is made possible by creating what is called a Budget View Controller. A standard budget view is used to determine which groups or line items are visible to a user class. In contrast, a budget view controller controls which groups or line items are editable in a budget column.

To create a budget view controller:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Budget Views link in the Company Administration column.

    The Manage Budget Views page opens.

  3. Click Add Budget Template View.

    The Add Budget Template View window opens.

  4. Enter the name of the budget view in the Budget Template View Name field.

  5. Enter a description of the budget view in the Description field.

    We recommend that you add descriptions to every template, layout, or field you create in Lucernex, so that subsequent administrators will understand the purpose and context of the items you create.

  6. Select the Is Budget View Edit Controller? check box.

  7. Click Add.

    The window closes. The budget view appears in the Budget Template View table.

  8. Click Build View link in the Actions column for the budget view you created.

    The Build View window opens.

  9. Use the controls to select which groups or line items you want the user to be able to edit.

    You can select any combination of groups or line items. When a user enters a group-level or line-item level value into the budget column, that will set the default for the budget column. From that point forward, all users entering values into that column will only be able to enter values at the group-level or the line item-level. Other budget columns will be unaffected.

    Selecting a parent group will not automatically select its child items and selecting a child item will not automatically select its parent. Click Arrows button Two black arrows pointing in opposite directions. next to a group name to toggle the selection of its child items.

  10. Click Update View.

    Your changes are saved.

To set a budget view controller as the controller of a budget column:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Budget Types link in the Company Administration column.

    The Manage Budget Types page opens.

  3. Click Edit link in the Actions column of the budget type you want to configure.

  4. Select the budget view controller you want to use from the Use this Budget View for Edit Control field.

    Only budget views which have been configured as budget view controllers will appear in this field.

  5. Click Update.

    Your changes are saved.
