Bidding Setup: Security

This article goes over the security settings you will need to configure for your bidders and bid managers.

If a security setting is not mentioned for a user class in this section, ensure that the setting is set to either No Access or to Default. If you select Default, the setting inherits the setting configured for your Default Security user class.

We recommend that you configure your Default Security user class to have No Access to all settings in Lucernex.

ClosedBidder User Class

Bidders are the users who will submit competitive bids for a project. Once a bidder has been selected as the winning bidder, they will perform work determined by the project plans.

In the Security Item column in the tables below, Entity refers to the entity type the security item belongs to. Entities are parent-level modules in Lucernex. The entity types in Lucernex are Portfolio, Program / Capital Program, Prototype, Capital Project, Site, Project, Location, Parcel, Facility, Contract, and Equipment Contract. The folder structure on the Manage Security pages mirrors the page structure in each entity.

This setting controls the field where the bidder can enter their question.

This setting allows the bidder to see the Bid Details and Key Dates sub-pages on the Bidder Summary page.
You will need to evaluate with the client to determine the appropriate settings to ensure that bidders do not have access to confidential information.

Budget Columns

Budget columns are configured at the firm-level, and may be named differently than they were originally named in our default template.

Your Bidder user class should have:

  • View-access to the Bidder column types

  • View-access to the Conditioning column type

  • No Access to the Estimate column type

ClosedCreate an Employer

In addition to the Bidder user class, each company you do business with must have an employer record in the system. The employer record must have a company type of Vendor. A Vendor is any company that you pay. When you create the member accounts for your bidders, they must be associated to the employer.

To create an employer in the system, follow the Add an Employer procedures on the Manage Employers page.

Important!

You MUST select Vendor from the Company Type when you create the employer for your bidder. This setting is listed in Step 3 of the Add an Employer procedures.

ClosedCreate a Member Account for a Bidder User

Once you have created the Bidder user class and the Employer record for the bidder's company, you must create at least one member account for each bidder company. You can create more than one; however, only one invited bidder account will be allowed to submit a bid.

To create a member account, follow the Add a Person procedures on the Manage Members / Contacts Tab page.

Important!

You MUST select the employer you created in the Create an Employer procedures above from the Employer field. You must also enter a valid email address.

To ensure that a bidder cannot see private questions, their View Private Issue Allowed? setting in the Edit Person window must be set to No.

ClosedBid Manager User Class

The responsibilities of a Bid Manager vary depending upon the company's preferences. Typically, the Bid Manager might create bid packages and award bids, enter summary page information, upload documents, and complete schedule tasks.
