Manage Timesheet Activities
Activities are individual entries in a timesheet that capture time spent on daily events such as task work, breaks, and overtime. They define the list of options that technicians can select when submitting timesheets and can support auditing and reporting.
For example, if your field team performs weekly inventory counts, you can create a custom activity called Inventory Count for technicians to track their time.
You must create activities before you can add them to a timesheet template.
Create activities
- Go to Timesheets > Settings > Activities.
- Select Add New.
- Enter a name and optional description.
The name appears to technicians when they add an activity to a timesheet.
- Select whether the activity is billable.
This setting provides a label for billing or payment purposes.
- Choose whether to allow association with a task or work order:
- Enabled: Users must associate the activity with a task or work order when entering time. The template setting for Timesheet template association determines which option is available.
- Disabled: Users are not required to associate the activity with a task or work order.
- If association is enabled, optionally select task types.
This applies only when the template is configured to associate activities with tasks. If the template uses work orders, users can select any assigned work order.
- Select Save to activate the activity.
When active, the activity is available for use in timesheet templates.
Deactivate an activity
To remove an activity from templates, deactivate it:
- Go to Timesheets > Settings > Activities.
- In the grid, select the activity.
- In Bulk Actions, select Deactivate.
The activity status changes to Deactivated.
To make the activity available again, select Activate in the side panel.
Auto-generated timesheet activities
To reduce manual effort, the system can automatically generate the following activities in a timesheet:
- Travel: Captures travel time between the Start Travel action and the check-in/start task event. The system logs this entry after travel is completed.
- Task work: Captures time spent working on a task, from check-in/start task to task submission. If a shift spans midnight, the system creates separate entries for each day.
- Break: Captures scheduled break time based on the user’s work schedule. The system creates entries at the start of the day.
- Leave: Captures leave time based on the user’s work schedule. The system creates entries at the start of the day.
- Overtime: Captures time worked outside scheduled shift hours, including travel or task work. The system logs the entry after task completion.
*These activities are generated only when the timesheet template tracks activities by tasks, not work orders.
