Configure Reservation Wizard Templates
Reservation Wizard templates simplify reservation creation by providing default values for fields in the Reservation Wizard.
For example, you can create a template for video conferences that automatically sets values such as the status, room type, event name, and event type.
Users can change any default values when they create reservations.
Configure a reservation wizard template

Select Configuration > Administration > Reservation Wizard Templates.
The Reservation Wizard Templates window opens and displays the active templates configured in EMS.

Optional: To display inactive templates, select Inactive in Show.

Select New.
The Reservation Wizard Template window opens.

Enter the template information.

Select OK.
The template description is the only required field. You can configure all other settings when you create the template or later.
Reservation wizard template fields
| Field | Description |
|---|---|
| Description | Name or description of the template. Maximum length is 50 characters, including spaces. |
| Prompt for Date | Prompts users to enter a start date when they use the Reservation Wizard. |
| Number of Days to Select | Selects a specified number of days automatically after users enter a start date. |
| Video Conference | Uses Video Conference as the default value on the final page of the Reservation Wizard. This option is not available in EMS Professional. |
Set default event information

Open the reservation wizard template.

Select the Defaults tab.

Select a reservation variable.

Select Edit.
The Set Default Value window opens.

Enter the default value.

Select OK.

Repeat the process for additional reservation variables as needed.

Select OK.
Set default room features
Room features are built-in room attributes such as windows, network connections, projectors, and displays.
You can use room features to limit the rooms that appear when users select this reservation wizard template.

Open the reservation wizard template.

Select the Features tab.

Select one or more features from the Available list.

Select the move button (>) to move the features to the Selected list.

Select OK.
Set default User Defined Fields
User Defined Fields (UDFs) store organization-specific information that is not available in standard EMS fields.
You can configure a reservation wizard template to automatically include UDFs when users create reservations.

Open the reservation wizard template.

Select the User Defined Fields tab.

Select one or more UDFs from the Available list.

Select the move button (>) to move the UDFs to the Selected list.

Select OK.
