Configure Notification Rules
Notification rules control who receives email and dashboard notifications when users create, modify, or cancel reservations, bookings, service orders, and user accounts in EMS.
The system generates a notification only when a reservation, booking, or service order meets all criteria defined in the notification rule.
Reservation schedulers, service providers, and administrators typically use notification rules to track activity and coordinate work. You can also configure notifications for any valid email address.
Before you configure notification rules, install and configure the EMS Email Notification Service.
Create a notification rule

Select Configuration > Administration > Notification Rules.
The Rules window opens and displays active notification rules.

Select New.
The Notification Rule Wizard opens.

Enter a value in Description.

Select a notification type. See Notification types table below.

Configure the options for the selected notification type, then select Next.

Select the users and email recipients that should receive notifications, then select Next.

Select the rooms the notification rule applies to, then select Next.

Select the booking statuses that trigger notifications, then select Next.

Select the event types that trigger notifications, then select Next.

Select Finish.

| Bookings |
The system generates notifications when users create or update bookings. EMS Enterprise supports multiple booking notification rules. EMS Professional supports only one booking notification rule. |
| Service Orders |
The system generates notifications when users create, modify, cancel, or delete service orders. EMS Enterprise supports multiple service order notification rules. EMS Professional supports one service order notification rule per category. |
| Anything On A VIP Event | The system generates notifications when users make changes to VIP events. |
| New Everyday Users | The system generates notifications when users create new Everyday User accounts. |
| User Defined Field | The system generates notifications when users select specific UDF values. |
User notification options
| Option | Description |
|---|---|
| Group Users Tied To Rule | Treats assigned users as a workgroup. If a user assigned to the rule performs the action that normally triggers the rule, EMS suppresses the notification. |
| Send to Event Coordinator | Sends notifications to the reservation event coordinator. |
| Send To Everyday User | Sends notifications to the Everyday User associated with the reservation. |
| Send to Reservation Group/Contacts | Sends notifications to the group's primary contact or configured group email address. |
