Reminders Tab

A comment provides additional information about a reservation, booking, group, or service order. A reminder is a comment that includes a due date.

Use the Reminders tab to review reminders assigned to you. By default, the tab displays reminders due through the current date.

Change the Reminders view

By default, when the Dashboard window first opens, the Reminders tab displays all the reminders for which you are the responsible user and that have a due date through the current day’s date. You can do one or more of the following to change this view:

  • To view the reminders for which other users are responsible, simply select the user or users in the Responsible User pane.
  • To view only a specific group of reminders for which you or others are the responsible users, change the viewing criteria.

Date Completed

Available only if Exclude Complete is not checked.

Exclude Completed

Selected by default. Clear this option to display completed reminders in the Reminders list.

Leave the Date Completed fields blank to display all completed reminders that match the other filter criteria. To limit the results, enter a date or date range in the Date Completed fields.

Hide Canceled

Not selected by default. Select this option to display canceled reminders in the Reminders list.

Create unattached reminders

Create an unattached reminder when you need to track a task that is not related to a reservation, booking, booking detail, or group. For example, you can create a reminder to prepare for your organization's annual safety inspection.

  1. On the Reminders tab, select New.

  2. Do one of the following:

    • Select a Reminder Type.

    • Select (user specified) and enter a Description.

  3. By default, EMS sets Responsible User to your user ID and Date Due to the current date.

Optionally, update Responsible User, Date Due, or both.

  4. If you completed the task, enter a date in Date Completed. Otherwise, leave the field blank.

  5. EMS automatically populates Date Completed when you or another user marks the reminder as complete.

  6. Enter reminder details in Notes.

  7. Select OK.

    • If the reminder is attached to a group, EMS opens the Group window and displays the associated group information.

Mark a Reminder complete

  1. In the Reminders list, select the reminder you want to complete.

  2. Select Completed.

Depending on the current filter settings, the completed reminders may no longer appear in the Reminders list.

Reassign Multiple Reminders Between EMS Users

  1. In the Reminders list, select the reminder you want to reassign.

  2. Select Reassign.

  3. In the Select User box, choose who will receive the reminder.

To find a user, enter text in Search. The search is not case-sensitive and matches text anywhere in the user name. For example, entering Admin returns users such as Admin and SysAdmin. The list updates as you type.

  4. Select Reassign.

  5. In the confirmation message, select Reassign again.

EMS reassigns the selected reminders to the new user.
