Configure Buildings

Use Buildings to define the locations where you can reserve space. Each building can contain one or more rooms and serves as a key component of the EMS reservation system.

ClosedConfigure a Building

  1. Navigate to Configuration > Facilities > Buildings
  2. Click New
  3. Enter the building information:

    By default, when you configure a building, the building hours are set to Open All Day. To change these hours, you can configure building hours. Only the building name, the building code, and the time zone are required fields. All other fields are optional and can be configured at a later date.

    Field

    Description

    Building

    Required. The name of the building (maximum 50 characters, including spaces).

    Building Code

    Required. Abbreviated text that conveys the building name or description (maximum 20 characters, including spaces).

    Notes

    Free-form text that provides any additional information or description about the building.

    URL

    The web address of a web page that provides more information about the building , for example, Google Maps.

    Print Notes on Confirmation

    Include the building notes in any confirmations that are printed for events that are scheduled in the building.

    Time Zone

    Required. Select the time zone in which the building resides.

    Currency

    Select the currency to be used for pricing all rooms in the building.

    External Reference

    Links the building to an outside program.

    Cost Per Sq. Ft./Meter Per Yr.

    Building cost used on the Room utilization report.

    Annual Operating Hours

    Total number of hours that the building is open during a calendar year. Used on the Room Utilization report.

    Latitude

    Relates to geofencing in the EMS Mobile App.

    Longitude

    Relates to geofencing in the EMS Mobile App.

  4. Continue with the remaining building configuration tasks as needed. When you finish, select OK.

ClosedRestrict Categories to a Building

Configure Building Categories to control which categories are available when people create reservations in a specific building.

  1. In the Buildingconfiguration dialog box, select Categories.

    • The Available to All Buildings list displays categories that are available to all buildings. You can't modify this list.

    • You can also associate categories with buildings when you configure categories.

  2. In the Available categories list, select the categories you want to make available for the building.

  3. Use the Move (>) and Move (<) buttons to move categories between the lists.

  4. Continue with any additional building configuration as needed.

  5. Select OK.

    The new building appears in the Buildings window.

ClosedConfigure Building images

Associate images with a building to provide additional details. EMS displays these images as thumbnails when people view building information.

Use image files in one of the following formats: .gif, .jpeg, .jpg, .bmp, .wmf, or .png. For best results, use images no larger than 615 × 350 pixels. Larger images may require scrolling to view.

  1. In the Buildingconfiguration dialog box, open the Images tab.

  2. Select New.

  3. Browse to and select the image.

  4. In Web App Long Description, enter a detailed description of the building.

    EMS uses this text as the building's long description.

  5. Select OK.

Closed User Defined Fields (UDFs)

Use User Defined Fields (UDFs) store additional building information for reporting, integrations, and organization-specific requirements. Configure UDFs to capture details that are not included in the standard building fields.

  1. In the Building Configuration dialog box, open the User Defined Fields tab.

  2. Select a UDF.

  3. Select Set Value.

  4. Enter or update the required value.

  5. Repeat these steps for any additional UDFs.

  6. Select OK.

ClosedConfigure Visitor Management settings

Use the Visitor Management tab to configure default check-in information for unregistered visitors. Front-desk staff can use Visitor Management to check in visitors, print badges, review visitor activity, and run reports.

  1. In theBuilding configuration dialog, select Visitor Management tab.
  2. Enter the default information for unregistered attendees:

Option

Description

Category

Select an attendee type Category.

Room

Specifies the Override Room assigned to reservations created for unregistered visitors or attendees.

Status

Specifies the reservation status assigned to reservations created for unregistered visitors or attendees.

Event Type

Enter the event type that is used for the unregistered visitor’s/attendee’s reservation.

Event Name

Enter the event name for reservations created for unregistered visitors or attendees.

End Time

The booking for the unregistered visitor/attendee is created from the current time until the end time that you specify.

  1. Select OK.

ClosedAudit Tab

The Audit tab provides information about your configuration, including the date/time the configuration was originally created, when it was last modified, and by which user.
