Floor Maps
You assign zones, spaces, and headcount within departments to specific areas on the assigned floor using floor maps. This helps you configure your workspace optimally to improve movement, communication, and efficiency.
Use floor maps to identify scenarios and formulate plans for them. Your organization can then use this information to proactively plan for future changes or challenges.
Upload floor maps through a process managed by Accruent. For further information, contact your Accruent account representative.
Compare scenarios and make changes using dynamic dashboards and interactive floor plans through drag-and-drop actions.
View the floor map for your allocation:
-
View your allocations in the Plan module.
-
Select a link anywhere in the row of a plan.
-
On the Allocation page, in View, choose a floor, if one exists.
The floor map opens.
The floor map shows a visual representation of the floor including its physical attributes like windows, doors, walls, workspaces, and workstations. The top section of the page shows:

On a floor plan, you can:
-
Create a zone by drawing it on the plan
- Assign headcount from a department to a zone
- Update a zone
- Delete a zone
- Rotate the floor map: Hold down Ctrl key, then click, hold, and drag the floor map.
Assign departments to floors
You need to assign departments to floors within the building's allocation plan to continue creating the floorplan scenario. If no departments exist for the selected floor, you can create zones, but no departments will be available for assignment.
Create a zone
Before assigning departments to the floor plan, you must first create zones. Zones are designated areas within the building's layout that are assigned for a specific use or function. Zones are often defined to organize space efficiently and group similar activities or departments together. For example, a zone might be allocated for the marketing department, including offices, cubicles, and shared spaces.
Once you create zones, you can assign departments to each zone.
-
On the floor plan, select the zone creation tool:
-
Draw rectangle: Create a rectangular shape zone.
-
Draw polygon: Create a regular shape zone, with all sides and angles equal, or irregular, with varying side lengths and angles.
-
-
Click consecutively to mark the corners of the zone area in the location where you want to establish the zone.
-
In the Spaces dialog that opens, enter the number of seats for the zone.
-
To confirm the number of seats, click Done.
-
To cancel, click Undo.
-
To delete the zone, click the trash icon.
-
Assign department and headcount to zone
After assigning departments to a zone, hover over the department block in the department list to highlight the assigned departments on the floor map in the same color.
-
In the Departments pane drag and drop an unassigned department to a zone. In Search, you can look up a department, which is useful if there's a lengthy list.
The department must have been previously assigned to the selected floor in Allocations.
-
In the department dialog, under the department name, enter a headcount value to assign for the zone.
-
In Spaces, enter the number of available spaces in the zone.
-
Do one of the following:
-
To confirm, click Done. The department displays within the zone. In the Department section, the assigned department is listed directly below the department heading. If you assign the same department to additional zones, each one will appear in sequence under the department block.
-
To cancel, click Undo.
-
To unlink and remove the department and delete the zone, click the trash icon.
-
To unlink and remove the department, click the link icon next to the department name.
-
Remove department and headcount from zone
Remove a department from a zone if there are reasons such as organizational restructuring, changes in space requirements, operational efficiency, or other changing circumstances.
-
On the floor map, click the department that you want to remove from a zone.
-
In the department dialog, click the link icon next to the department name.
The department is removed from the zone.
Update a zone
Change the number of seats within a zone. To relocate a zone, first delete it and then create it anew in another location.
-
Select the zone to update.
-
In the Spaces dialog, change the number of available seats.
-
Click Done.
The zone updates with the new number of seats.
Modify the zone shape
After creating a zone, you can modify its shape or size.
-
Click the selection arrow, then click on a zone.
-
In the Spaces dialog that opens, click the pencil icon.
-
Click the zone again. The perimeter of the zone now includes points.
-
Do one of the following:
-
To move the zone, click, hold, and drag it to another location.
-
To modify the zone shape or size, click on a point on the line. The cursor changes to a Move cursor. Hold and drag the point.
-
-
Click Update.
Delete a zone
Once you delete a zone, the action is irreversible. There is no option to undo the deletion. If a department is included in the zone, you can delete the zone, and the department reverts to the unassigned area.
-
Select the zone you want to delete.
-
In the Spaces dialog that opens, click the trash icon.
The zone gets deleted from the floor map.
