Details

Use the Details tab to document more detailed information about the work being done, which may not be immediately necessary for the technician to understand their tasks. The Details section is typically used by an administrator or manager who needs to provide additional documentation for tracking and compliance reporting.

The Schedule section is used to store dates for compliance purposes.

Navigate to the Details tab while in Create or Update mode.

Your organization's administrator sets up a default form within the Classic TMS modules. The display of tabs, field groupings, and fields varies depending on whether it's in Create, Update, or Query mode.

The tabs and fields you see within this content may differ from those configured by your organization's administrator. Use this information as a guideline.

Add details

Add details when creating or updating a work order.

  1. On the Details tab > Details section, enter the information:

    • Reference number: Enter a internal reference number that's unique to your organization. For instance, use a project number to identify work orders related to a specific project.

    • Schedule #: The system automatically populates the value when the work order is generated from a schedule, such as Preventive Maintenance, Planned Event, or Inspection. This value is for reference only and cannot be changed.

    • ECRI Alert Number: Enter your organization's alert number, which refers to a unique identifier associated with an alert or notification issued by the ECRI Institute. This ECRI Alert Number allows healthcare providers and organizations to track, reference, and respond to the alert appropriately.

    • Hours: Number of hours applied to the work order.

    • Total charge amount: The total of the time and material charges for the work order.

    • Total material cost: The total value of material charges applied to the work order.

    • Total cost: The sum of all time charges to the work order.

    • Parent WO: If this work order is a child, the linked parent work order displays.

  2. In the Schedule section, enter the information:

    • Date created: Automatically fills in with the date the work order was created.

    • Date available: Indicates when an asset or area can be serviced. For example, if a patient room requires an electrical outlet repair but is occupied until 4:30 PM today, this field shows when the room becomes available.

    • Date needed: Identifies when the request needs to be completed.

    • Week scheduled: Select a specific Monday to indicate the week when a work order is scheduled for completion.

  3. In the User defined section, enter the required information. Use up to ten user defined fields to store extra information unique to your organization. An administrator or manager usually customizes the field labels to whatever is needed.
