Time Charges

Resource time charges help to manage and track the time spent by resources on various activities, ensuring accurate logging and efficient time management within TMS.

Add, update, or delete time charges to maintain accurate records, improve resource utilization, ensure compliance, and support better decision-making.

  1. Go to Resources > Time Charges.

  2. Under Identification, enter the following, then click Apply:

    • Segment: The associated category that this resource is associated with. Segments are helpful for data segregation and reporting purposes, to organize work orders more efficiently.

    • Resource: The individual that's associated with the time charges.

    • Date: Corresponds to the date field on the labor entries. If you define a single day, the system lists records that match the date on the lower portion of the page.

    The following fields autofill based on the information entered above:

    Skill

    Shop

    Shift

    Charge rate

    Total time (hours)

Add time charges

Enter details such as the resource, date, and number of hours worked.

  1. In the Time charges section, click Add.

  2. In the Add time window on the Main tab, enter details:

    • Comments: Enter additional comments about the work performed. If you select a work order for the time charge, the comments appear in the Completion Comments on the Complete tab.

    • Resource: Person responsible for performing the work. Displays a list of resources that are in the same segment as the work order or in a parent common segment higher in the hierarchy. Each resource in the list has an Active status in the Resources module.

    • Hours type: Classification of the hours worked to distinguish between different kinds of work or pay rates. For instance, regular, overtime, sick, and travel are different types of classifications. The default hours type is regular.

    • Hours: Number of hours worked. For partial hours, use a decimal. For instance, enter 1 hour and 30 minutes as 1.5 hours.

    • Date: Specify the date when the work was performed.

    • Stop time: Indicate the time when the work was completed.

  3. On the Charge to tab, enter details.

    • WO number: If you open the Add time window from a work order, it automatically fills in the work order number for the time charge. If you open the window from the Resource time charge page, you can look up and select a work order to attach the time charge.

    • Asset number: If the work order has no assets, the field is disabled. If you attach a work order to the time charge and it has assets, one of the following occurs.

      • If no assets are attached to the work order, you can add an existing asset number.

      • If one asset is attached to the work order, it displays as read-only.

      • If two or more assets are attached to the work order, the Asset number defaults to All assets. The system automatically applies a time charge to each asset, evenly distributing the total hours across them. For instance, if my work order lists four fire extinguishers and I log a time charge of two hours, the system automatically creates four time charge records, assigning 0.5 hours to each extinguisher. Alternatively, select an asset from the list to create an individual time charge for that specific asset.

      • Scan: Select the scan icon to scan a QR or barcode on the device.

      • Search: Click the search icon to search for an asset. In the Lookup asset window, fill in fields to filter results and click Apply filter. In the results list, click Select next to an asset. The asset number displays in Asset number.

    • Procedure number: Specifies which procedure this time charge is issued to if the work order has attached procedures. This field is disabled unless you attached a work order.

      • If a work order is attached and has procedures, then select from a list with those procedures.

      • If the work order has no procedures, the field remains disabled.

    • Cost center: Select the cost center to charge the cost to.

    • Billable: Refers to the time spent that can be charged to a customer, departments, and such. Billable time can be charged. Non-billable time cannot be directly charged.

    • Account: Automatically fills in the account indicated on the Main tab if you attached a work order.  Otherwise, select the account from the list.

    • Contract: Associate the time charges with a specific contract. This helps in tracking and managing the time spent on tasks or projects that are covered under specific contracts.

  4. Do one of the following:

    • Click Add to save.

    • Click Add another to save and then clear the values to add another record.

    The system adds the time charges.
