Manage asset groups
(TMSPROV-32011)
Create, search, and manage Asset groups in Accruent TMS. Asset groups are collections of assets for bulk assignment to work orders and PM schedules. This update eliminates the need to use Classic TMS for this workflow.
From the Assets section in the sidebar, select Asset groups to create groups, search existing groups, or view related work order history. Access to Asset groups depends on your permissions.
Edit page for Asset groups
(TMSPROV-32015)
View and update asset group details more efficiently using the new Edit asset group page in Accruent TMS. Use this page to change group settings while viewing which assets are in the group.
External links
(TMSPROV-31699)
Define hyperlinks to external systems, such as vendor portals and ERP systems, using External links. Administrators can set up these links in the Admin portal to include live field values as query parameters. Technicians and planners can launch these links directly from module records.
Server-side preference storage
(TMSPROV-31853)
Accruent TMS now saves your local settings to the server. Your preferences sync to the server during your first login if the User profile preferences feature is enabled. This one-time migration preserves your personalized settings without disrupting your workflow or requiring manual updates.
Required procedure indicators
(TMSPROV-24961)
To improve clarity for technicians and ensure feature parity with Classic TMS, Accruent TMS now displays a clear visual indicator for sub-procedures you require on work orders. A standard red asterisk appears to the left of the description for any sub-procedure you mark as required. Hovering over the asterisk displays a tooltip You must follow this procedure to close the work order.
Technicians see these indicators in both the Procedure Readings grid and the Update Readings modal, which helps identify mandatory tasks before they close a work order. The indicator also includes alt-text for screen readers so all users can identify mandatory tasks and avoid workflow delays.
Improved Create work order access from asset pages
(TMSPROV-25741)
To better support common technician workflows, Accruent TMS updated the permission requirements for the Create work order button on the Asset update page. The button is now active for technicians with Read-only access or higher to assets. They must also have Full access to create work orders. This change ensures that technicians can quickly start work orders for the assets they are viewing, even if they do not have administrative permissions to modify the asset record itself.
This streamlined workflow allows technicians to report issues directly from the asset page across all devices, including desktop, tablet, and mobile. When using this shortcut, the application redirects to the Work order create page and pre-fills the form with the relevant asset details.
Unsaved changes indicator
(TMSPROV-25748)
Accruent TMS now displays a visual indicator when a record has unsaved changes to help users avoid losing work. A small Unsaved changes label appears in the title area of a form or modal as soon as a field is modified. This indicator appears in Create and Update modes. It disappears once you save the record.
This feature is active across all standard module forms, such as Work orders and Assets, and child record modals, such as Time charges and Materials. The indicator includes alt-text for screen readers. This ensures all users know about unsaved changes before closing a page.
Unsaved changes navigation prompt
(TMSPROV-25749)
To prevent accidental data loss, Accruent TMS now prompts users with a Leave without saving? confirmation dialog if they attempt to navigate away from a record or close a modal with unsaved changes. This protection applies to all standard module forms, such as Work orders and Assets, and child record modals, such as Time charges and Materials.
The prompt only appears when the system detects actual changes, ensuring uninterrupted navigation during view-only sessions. When the dialog appears, users can select Update and leave to save changes, Leave to discard changes, or Cancel to remain on the record.
Improved procedure assignment on schedules
(TMSPROV-28130)
Administrators can now assign procedures to resource assignments on a schedule without getting incorrect Assignee already exists errors. This fix applies to PM, IN, and PE schedule types via the Update assignment modal. Upon successfully updating an assignment, the Assignment updated success message confirms the change.
Enhanced asset group management and history
(TMSPROV-32016, TMSPROV-32017)
Accruent TMS now includes advanced membership controls and a complete work order history for asset groups to streamline bulk asset management. Users can add assets to a group using a new search modal that supports searching by Asset number or Name. Members can also be removed directly from the membership grid, which refreshes to maintain accurate records.
A new Work order history grid on the Asset group edit page displays all associated work orders, including the WO number, Description, Status, and Scheduled date. Clicking any row in the grid navigates directly to the Work order update page. All new modals and grids are fully keyboard-navigable and compatible with screen readers to ensure accessibility for all users.
Asset retirement and deactivation safeguards
(TMSPROV-32500)
To prevent unintended scheduling gaps, Accruent TMS now includes a confirmation prompt when you change an asset status to Retired or Inactive. This alert warns you that the system will remove the asset from all groups. It also warns that associated PM and Inspection schedules may be set to Unscheduled. The Unable to Locate (UNLOC) status does not trigger this prompt or any automated changes.
Upon confirmation, the system unschedules linked PM and Inspection schedules only if no other active assets remain linked to them. Performance Evaluation (PE) schedules are not affected by this change. The audit log records every schedule status change triggered by this process.
Work order query: Time charge resource filter
(TMSPROV-32593)
To improve labor tracking and work history management, Accruent TMS enabled the Time charge(s) by filter in Work order query mode. Located on the Complete tab, this dropdown now lists all active, non-retired resources, sorted by last name for easier navigation. Accruent TMS automatically excludes inactive and retired resources to ensure search results remain relevant.
Selecting a resource from this list returns only the work orders containing at least one time charge entry for that individual.
