Security Tab

The Security tab is designed to control access permissions for a specific data source within TMS. It provides a permissions grid where administrators can define which user groups or roles can view, edit, or manage the data source. This ensures that sensitive data is only accessible to authorized users and aligns with your organization’s security policies.

Your organization's administrator sets up a default form within the Classic TMS modules. The display of tabs, field groupings, and fields varies depending on whether it's in Create, Update, or Query mode.

The tabs and fields you see within this content may differ from those configured by your organization's administrator. Use this information as a guideline.

The default page view is List view, which displays all information in a spreadsheet-like format. Card view displays the same items as blocks. You can switch between views on desktop platforms by clicking either the list or card icon located at the upper right of the list. Mobile phone and tablet devices only display Card view.

The Permissions section displays user groups and their associated access levels. It includes the following columns:

  • User group: Security group or role that controls access for multiple users. Permissions set here apply to all members of the group.

  • User name: Individual user who has access to the data source. This allows for user-specific permissions in addition to group-level settings.

  • Access: Permission level assigned to the user or group, such as Full, Read only, and No access. This determines what actions they can perform on the data source.

User-level permissions override group-level permissions when a conflict occurs.

When you create a full access child security permission record for a group that does not include your user and that record is the only security permission attached, you immediately lose the ability to update the parent data source record when you save the child record.

This occurs because creating a full access security permission automatically denies access to all other groups, including the one your user belongs to.

Create permissions

Create a new permission entry on the Security tab. This action lets you specify a user or group and assign an access level, uch as Full, Read only, and No access. This controls what they can do with the data source.

Create a Read-only or No-access permission only after defining at least one group or user with Full access to preserve access.

  1. Go to Data Sources > Quick Search or Query and find a data source.

  2. On the Data Source page, select the Security tab.

  3. In the Permissions section, click Create.

  4. In the Create permission window, select the following:

    • User group

    • User name

    • Access

  5. Click Create to save the permission.

Update permissions

Update permissions to ensure that access stays aligned with current roles, responsibilities, and security requirements.

  1. On the Data Sources > Security tab, in the Permissions section, find a permission to update.

  2. Select Update from the Actions menu on the left of a row.

  3. In the Update permission window, make changes in one or more fields and click Update.

  4. Click Update to save.

Delete permissions

Delete a permission when a user or group no longer needs access to the data source. This helps maintain security, prevent unauthorized actions, and ensure compliance with organizational policies. Common scenarios include user off-boarding, role changes, or the end of a project.

  1. On the Data Sources > Security tab, in the Permissions section, find a permission to delete.

  2. Select Delete from the Actions menu on the left of a row.

  3. In the confirmation message, click Delete.

  4. The system deletes the permission.
