Assets

In Contracts > Assets tab, view the assets associated with the contract record. This feature allows easy access and management of attached assets.

Your organization's administrator sets up a default form within the Classic TMS modules. The display of tabs, field groupings, and fields varies depending on whether it's in Create, Update, or Query mode.

The tabs and fields you see within this content may differ from those configured by your organization's administrator. Use this information as a guideline.

The default page view is List view, which displays all information in a spreadsheet-like format. Card view displays the same items as blocks. You can switch between views on desktop platforms by clicking either the list or card icon located at the upper right of the list. Mobile phone and tablet devices only display Card view.

In the Contract assets section, view the terms of a contract.

  • Show: Select Active or All. Active shows only the active contract assets. All shows all contract assets regardless of status.

  • Asset number: Unique identifier assigned to each asset. This number helps in tracking and referencing the asset across modules.

  • Description: Brief summary of the asset, such as its type, model, or purpose.

  • Account: The financial or departmental account associated with the asset, often used for budgeting or cost allocation.

  • Effective date: Date when the asset became active or was officially included under the contract.

  • Termination date: Date when the asset's coverage under the contract ends, either due to expiration or cancellation.

  • Renewal date: Scheduled date for contract renewal or review for the asset.

Add contract asset by number

If you know the contract asset number, enter it to add the item to the list.

  1. Go to Contracts > Quick Search or Query and find a contract.

  2. On the Contract page, select the Assets tab.

  3. In the Contract assets section, enter an asset number in Add by number and press Enter.

    If a matching record is found, the system adds it to the list.

Add contract asset using filters

Navigate to the Contract > Assets tab to manage all associated assets in one centralized view and streamline workflows. Use filters to easily find and view contract assets you want to add. Filters support multi-criteria searches to narrow the search results.

  1. Go to Contracts > Quick Search or Query and find a contract.

  2. On the Contract page, select the Assets tab.

  3. In the Contract asset section, click the search icon next to Add by number.

  1. In the Contract asset lookup window, select one or more filters via one or more tabs:

    • Main

    • Details

    • Additional info

    • Procedures

  2. Click Apply filters.

    The Results list displays contract assets that match your search criteria.

  3. Click Select next to a contract asset.

  4. Select each one you want to add and click Add.

    The selected contract assets get added to the section.

Update contract asset

Update a contract asset when details change to ensure accuracy and address other considerations.

  1. In the Contract assets section, select Update from the Actions menu on the left of a row.

  2. In the Update contract asset window, make changes.

  3. Click Update to save.

    The contract term updates.

Remove contract asset

Delete a contract asset to maintain data accuracy, correct user input errors, or ensure compliance with policies.

  1. In the Contract asset section, select Remove from the Actions menu on the left of a row.

  2. In the confirmation message, click Remove.

    The system removes the contract asset from the contract.

  3. Click Update to save.
