Run Report – Utility

Standard Utility reports allow you to view and print reports about your installation's utilities and utility systems.

Your security rights determine whether you can run utility reports and which properties you can run the reports on. If you do not have the required security rights, contact your system administrator.

To run Utility reports:

  1. Access the Utility module by clicking the Utility link at the top of the page.

  2. Select the Run Report tab.

  3. In the Select a report field, select the report you want to run.

  4. Specify report criteria.

  5. Click OK to run the report.

The following Utility reports are available:

ClosedMeter Site Listing

The Meter Site Listing report provides information about all of the meter sites associated with a given property, utility type, utility system, or region.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Property - Click the Select link to run the report for a particular property.
  • Region – Select a value to run the report for a particular region. You can select a property or a region, but not both.
  • Utility – Select a value to run the report for a particular type of utility.
  • Utility System - Select a value to run the report for a particular utility system.
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file) or CSV (comma separated variables).

Report Output

The generated report contains one row for each meter site. The results include:

  • Region – the region the meter site is located in
  • Property – the property at which the meter site is located
  • Utility – the utility the meter site measures
  • Utility System – the name of the utility system
  • Meter Site – the name of the meter site
  • Meter Site Type – the type of meter site
  • From Meter Site – the parent meter site to which the Consumption meter site belongs
  • Meter Site On – Yes if the meter site is on for billing
  • Meter Site Level – the level at which the meter site exists within a parent/child hierarchy
  • Status – the status of the meter site (for example, Active or Inactive)
  • Location Directions – information about locating the meter site
  • Special Instructions – any special information that applies to the meter site
  • Route – indicates the route on which the meter site will be read
  • Order No. – the order number in which the meter site should be read within a meter site group
  • Meter Serial No. - the serial number associated with the meter
  • Calc. Cost From Rate – indicates whether costs are calculated using the charge rate; if set to set to No, the system assumes a rate of 0 and the rate will be pulled from the invoice
  • Rate – the current charge rate for the meter site; if no rate is entered, the system will look at the rate set at the utility system, then to the utility when calculating billing
  • Meter Site Account – the debit account string associated with the meter site; if more than one account is associated, there may be multiple report rows for a single meter site
  • Meter Site Account Group – the credit account group associated with the meter site
  • Allocation % – the allocation percentage pertaining to this debit/credit account grouping; if there are multiple allocations for the meter site, they must equal 100%
  • Billing Method – the billing method, either Send to General Ledger to export the billing to internal accounts or Statement to bill out a third party
  • Customer Type – the type of customer this meter site serves, for example Academic, Athletic, or Tenant

ClosedConsumption Per Billing Period

The Consumption Per Billing Period report includes information about the consumption per billing period for each meter site.

Report Criteria

  • Property - Click the Select link to run the report for a particular property.
  • Region – Select a value to run the report for a particular region. You can select a property or a region, but not both.
  • Utility – Select a value to run the report for a particular type of utility.
  • Utility System – the name of the utility system
  • Billing Period - Select a Month and a Year value to define the billing period.
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file) or CSV (comma separated variables).

Report Output

The generated report contains one row for each consumption entry for a meter site. The results include:

  • Region – the region the meter site is located in
  • Property – the property at which the meter site is located
  • Utility – the utility the meter site measures
  • Utility System – the name of the utility system
  • Meter Site – the name of the meter site
  • Meter Site Type – the type of meter site
  • UOM – the unit of measure for the utility
  • Consumption – the number of units consumed
  • Billing Period – the date on which the billing period ends
  • Residual Consumption – consumption that is accounted for more than once due to the organization of the meter site structure (is only calculated for a parent consumption meter site)
  • Method of Consumption – the method by which consumption will be billed, either by Invoice, Reading, Virtual, or Estimate
  • Estimate Status – Active if meter site estimates are in use
  • Demand Reading – the fixed cost of providing a given level of the utility
  • Demand Consumption – the demand reading multiplied by the meter multiplier
  • Invoice Date – the date of the invoice given by the utility provider
  • Invoice # – the invoice number that is given by the utility provider
  • Voucher # – the unique number associated with this invoice by the system
  • Utility Provider – the name of the utility provider
  • Estimate Consumption – the estimated (fixed) amount of consumption that will be billed, regardless of actual consumption
