Create PR

The Create PR page is used to create a purchase requisition which specifies a list of items you need and the timeframe in which they are needed. The Create PR page is only available if Advanced Inventory is enabled.

In many organizations, PRs are processed by a purchasing department. Therefore, a purchase requisition does not need to include pricing, vendor, or accounting information—it requests the items needed and allows the purchasing department to fulfill the request in the most cost effective manner.

A purchase order can be created from a purchase requisition by any user who has the appropriate security rights, after any required approvals have been obtained. A single purchase order can be created to purchase all of the items on a single PR, or a PR can be split among several POs to optimize the procurement process.

To create a purchase requisition:

  1. Access the Requisition module by clicking the Requisition link at the top of the page.

  2. Select the Create PR tab.

    The Create PR page opens.

  3. In the PR Date field, enter the date on which the PR is being created.

    This value defaults to today's date.

  4. Select the Property where the items are needed.

    This value defaults to your default property. If you click the Select link to select a new property, a new shipping address is automatically filled in.

  5. Enter values for the Requestor Name, Requestor Phone, and Requestor Email.

    These values default to the name, phone number, and email address of the user creating the PR. If you click the Select link to select a new requestor, values for phone and email address are automatically filled in. You can also directly enter values in any of these fields.

    Some systems may be configured to display the Requestor Name field only, with no Select link.

  6. In the NTE field, enter a value indicating the maximum Not To Exceed cost for the PR.

  7. In the Attention field, enter or select a user name to associate this PR with another user.

  8. In the Ship To field, enter the address the items on this PR should be shipped to.

    By default, the Ship-To address of the selected property is displayed. You can modify this value.

  9. In the Description field, enter a description of the PR.

  10. In the PR Type field, select the type of PR to create.

    Some types of PRs are required to go through the approval process.

  11. In the Request ID field, enter or select a work request ID if you want to associate one with this PR.

    If you click the Select link, you can enter criteria to locate and select the appropriate work request. If you enter a request ID number directly, the system will validate the request ID before creating the PR.

    Selecting a Request ID on the Create PR page associates a single work request with the PR. If you want to associate a separate work request with each item, you can do so on the Purchase Requisition Details page when you Add a Material Item.

  12. Click OK.

The purchase requisition is created and the Purchase Requisition Details page opens. From this page you can edit the PR, add material and service items to the PR, create PR approvals, attach files to the PR, and submit the PR to a buyer.
