Work Order Assignment and Notifications
FAC-62829
This release enhances work order management with new capabilities:
Multiple Assignees and Crews: Assign multiple users to a work order. If your organization uses crews, you can:
-
Add or remove assignees from work orders.
-
Assign users from different crews or multiple individuals from the same crew.
Assign Assignees and Crews:
-
If your organization uses crews, select a crew from the dropdown menu. The crew lead is automatically set as the assignee. A crew cannot exist without a lead, so the default assignee is always be the crew lead upon selection.
-
To change the assignee, use the User selector to choose another member from the crew. If you prefer not to assign a crew, you can add an individual assignee without selecting a crew.
Lead Assignee designation:
-
Designate a lead assignee as the main assignee in other modules that reference work orders and assignments. To change the lead assignee, move the lead designation to another person listed on the work order.
Updated Notifications: Control notifications for assignees with the following updates:
-
The system sends notifications exclusively to the lead assignee. This option is available in the internal information section as a checkbox.
My Requests page functionality
FAC-63137
Experience enhanced visibility and control over work requests on My Requests, especially with support for multiple assignees.
Results Updates:
-
The Assigned To label is now Lead Assignee. If a work order has multiple assignees, a multiple assignee icon appears next to the assignee value.
-
The Crew label is now Lead Crew. For work orders with multiple crews, a multiple crew icon displays next to the crew value.
Subpage Filters & Print options:
-
Print All: Generate a report listing all displayed requests, formatted like the search results on the My Requests page. Only the lead assignee is highlighted in these reports.
-
Print Today: Produce a report listing all displayed requests scheduled for completion today, formatted like the search results on the My Requests page, with the lead assignee highlighted.
Assigned to Me: You see results for any requests you are an assignee on, regardless of lead status. While you see all requests you are assigned to in the results, the preview specifically highlights the lead assignee.
My Crews: You see results for any requests you are an assignee on or assigned to any member of a crew you belong to.
As a custodian or technician, you can view any requests you are assigned to, even if you are not the lead.

FAC-63488
The Find Request page now offers improved search and print capabilities, especially with support for multiple assignees and crews.

Work Order Mass Update
FAC-63663
Work Order Mass Update allows you to efficiently update multiple work orders simultaneously. This functionality is restricted to updating only the lead assignee and Lead Crew; other non-lead assignees cannot be updated.
Key features:
-
Update multiple work orders at once, reducing the need to open each individually. This is especially useful for managing multiple properties or deactivating properties in a multi-property database.
-
Use search criteria to find and select work orders, then specify fields for update. Apply changes and view results, including any failures, with an option to export to Excel.
Label and Functionality updates:
-
Assignee To is now Lead Assignee.
-
Crew dropdown is updated to Lead Crew.
-
Notify Assigned To is now Notify Lead Assignee.
-
The system displays the Crew dropdown only if crews functionality is enabled.
Automatic Assignee determination
FAC-64118
The process for determining the Automatic Assignee for Work Orders (WOs) now includes additional checks to ensure accuracy and efficiency.
Previously, an automatic assignee populated based on predefined criteria that consider property and region notifications, user availability, and origination codes.
Enhanced process:
-
The system checks property and region request notifications along with the default property contact to identify potential assignees.
-
It ensures the identified user has a backup and a work availability record for the scheduled request time.
-
It verifies the origination code, ensuring the DefaultAssignedToCreator flag is set to YES to override other default assignments.
-
To change the lead assignee on creation, you must update the row that shows Automatic.
API functionality for Multiple Assignees
FAC-63210
New API capabilities now support multiple assignee functionality in mobile for reactive work orders.
-
Retrieve All Assignees (GET):
-
Retrieve all assignees for a reactive work order, displaying them in the UI with the lead assignee clearly flagged.
-
Access requires View Requests permission.
-
Administrative Mass Reassignment from Edit User
FAC-64358 & FAC-64341
The Edit User page and work order management processes now support multiple assignees comprehensively.
Work Order reassignment:
-
Reassign all active schedules, open work orders, and notification rules from one user to another in a single action.
Assignee handling:
-
If the reassigned user is the primary assignee, the new user inherits the primary role. For non-primary reassignees, the system removes the old record, creates a new one for the new user, and retains the crew association.
User Distribution and Inactivation:
-
The User Distribution report now includes all work orders assigned to a user regardless of whether they are designated as the lead.
