Project Details

The Project Details page displays detailed information about a project. This page opens after you create a new project or when you click a project name link, for example on the Find Project page.

Values on the Project Details page in a gray box are not editable. The following panes of information are included:

ClosedGeneral Information

The General Information pane contains information that was entered when the project was created. This information cannot be modified. If you have the appropriate security rights, you can click any of the following links:

  • Edit Project – Clicking this link allows you to edit the values in the General Information, Financial Information, and Contracts and Change Orders panes.

  • Project Detail – Clicking this link creates an Excel spreadsheet containing detailed information about the project.

  • Approvals – Clicking this link allows you to create project approvals.

The following information is displayed:

  • Project Name – the name of the project
  • Project ID – the unique identifier of the project
  • Property – the property where the project work is being performed
  • Space/Floor – the specific location within the property where the project work is being performed
  • Project Type – the project type (for example, capital project or new construction)
  • Project Sub Type – the subType of the project (for example, addition, or building maintenance)
  • Project Start/Finish – the dates on which the project starts and ends
  • Project Status – the status of the project (for example, on hold or approved)
  • Schedule Status – indicates whether the project is on time or behind schedule
  • Priority – the priority of the project, for example, high, medium, or low
  • Project Manager– the name of the user who is managing the project
  • Project Driver – the business reason for the project (for example, cost savings)
  • Comments – any comments about the project

ClosedCurrent Status

The Current Status pane displays a financial summary of the project budget. Included in this information is the budget for the current fiscal year. If a project spans multiple fiscal years, you can choose to select the year to view a specific year, or All to view all budget years. 

The following information is displayed:

  • Budget Revised – This value specifies the budget amount initially determined for the project. 
  • Total Estimated – This is the estimated budget based on the estimated dollar amount tied to work orders associated with the project.
  • Remaining Estimate - This value indicates the total estimate minus committed and actual purchase orders.
  • Committed (POs) – This value indicates the sum of all purchase orders on associated work orders minus any received items on those purchase orders.
  • Actual – This value indicates the total labor, materials, and other costs specified for all project work orders in the chosen budget year.
  • Budget Variance – This value indicates the amount of current budget variance based on the original budget (Budget Revised - Actual).
  • Billable: Total dollar amount tied to project work order requests that are billable.
  • Non-Billable – This value specifies the total amount tied to project work orders that are non-billable.
  • AR Invoiced – This value indicates the labor, materials, and other costs that have been invoiced as accounts receivable.
  • AP Paid– This value indicates the total dollar amount from work orders that have been paid as accounts payable.
  • Estimated Variance – This value specifies how the sum of the estimated amounts on the work orders varies from the sum of the actual amounts of the work order (Estimated - Actual)
  • % Complete Budget – This value specifies the percentage of the budget that has been used up so far (Actual/Budget Revised).
  • % Complete Work – This values specifies a best guess estimate of the percentage of work completed so far. It is not calculated by the system; it is a value manually entered on the Edit Project Details page. 

ClosedFinancial Information

The Financial Information pane displays general financial information about the project. The following information is displayed

  • External Project ID – the project's external identification number (used in conjunction with an external accounting system)
  • Customer Account – the customer account associated with the project
  • Budgeted – Yes if the project is budgeted
  • Allowance Per SF – any allowance per square foot as specified when the project was created
  • GL Account – the general ledger account associated with the costs
  • Customer GL Account – the customer general ledger account associated with the project
  • Default Bill Code – the default billing code for work requests
  • Recoverable Escrow – the amount of recoverable escrow for the project
  • Project Fees – any additional project fees that are outside of the project budget

The Financial Information pane also displays the following budget information for each budget year:

  • Budget Original – the original amount budgeted for the selected year
  • Capital Expense – costs for fixed assets and equipment
  • Recurring – cost of recurring expenses
  • Quarterly Depreciation – quarterly costs for depreciation of equipment
  • P&L Effect – costs that effect the Profit and Loss statement
  • Budget Revised – the latest budget for the project
  • Non-Capital Expense – costs for operating expenses
  • AOP – costs for accounting operating procedures
  • Quarterly Expense – quarterly costs for other expenses

ClosedContracts and Change Orders

The Contracts and Change Orders pane displays a list of all company documents linked to the project from the Company module. Usually these are contracts or change orders that are pertinent to the project. For every associated document, the document name and the company are displayed.

To view more detailed information about any associated contract or change order, click the DETAILS button. The View Document Details page for the selected document opens. To return to the Project Details page, click the Return to Project link.

Additional Documents can be added by clicking the Add Document link. If many documents are displayed, the Filter By field allows you to filter the list of documents by company. The Create WO link allows you to create a work order and associate it with a specific contract or change order.

ClosedProject Documents

The Project Documents pane contains a list of documents associated with the project. These documents need not be company documents that are already in the system. They can be files uploaded directly from a user's hard disk.

For each document listed, the following information is displayed:

  • Name – the name of the document; clicking this link opens the document in a separate window if you have the appropriate application or browser plug-in to view it
  • Description – a description of the document
  • Type – the type of document, for example, image or spreadsheet
  • EDIT – click this button to edit the document information

Click the Add Document link to add a document from your computer to the project.

ClosedProject Work Orders

The Project Work Orders pane displays a list of work orders created as part of the project. You can select a specific budget year to view work orders that pertain only to a specific year.

You can add a work order to a project by clicking the Create Work Order link and opening the Create Request page. If an existing request needs to be added to the project that wasn't originally created as part of the project, you can find the work order and then reclassify it.

ClosedOther Options

The Other pane allows you to copy work orders from an existing project to this project and to view the project calendar.

Copy Work Orders

Copying work orders makes new copies of the work orders from the other project, it does not move them from one project to another. You cannot select which work orders to copy; all work orders from the selected project are copied.

To copy work orders:

  1. Open the Other Options pane.
  2. In the Copy WOs from Project ID field, enter the ID of the project you want to copy work orders from.
  3. Click COPY.
  4. Enter the Project ID number and view the Project Calendar.

Project Calendar

The Project Calendar hyperlink allows you to view all work orders by the date in which they were created in a monthly format.
