Create Procedure
The Create Procedure page allows you to create a procedure which provides instructions for maintaining a facility or piece of equipment. Once created, procedure can be associated with a request type/subType or an inspection class/type to provide information for performing a particular type of work or inspection.
Procedures can be associated with properties or regions so that only users with access to a specific property or region can access the procedure. If no property or region is associated with the procedure, it is considered to be global and can be accessed by any user. Global procedures are often added to the system to act as a starting point for creating more specific procedures. These global procedures can be copied and then customized to a particular property, region, request type, or inspection type.
To create a procedure:
-
Access the Knowledge module by clicking the Knowledge link at the top of the page.
-
Select the Create Procedure tab.
-
In the Procedure Name field, enter a name describing the procedure.
Each procedure you create is automatically assigned a unique procedure ID, therefore, the procedure name does not need to be unique. Use caution when naming a procedure to avoid creating multiple procedures with identical names.
-
In the Asset Class field, select value if you want to associate this procedure with a particular class of asset.
Associating an asset class with a procedure does not provide a link to the procedure from assets of that class. It provides a search filter that can be used when finding procedures.
-
In the Property field, select a property to associate this procedure with.
-
In the Region field, select a region to associate this procedure with.
Note:If you do not select a property or a region, the procedure is considered to be a global procedure and can be accessed by any user.
-
In the Inspection Class field, select a value to associate this procedure with a particular type of inspection class.
-
In the Inspection Type field, select the particular type of inspection to associate the procedure to.
If you associate a procedure with an inspection class/type, any work request that uses the procedure will have a Create Inspection link that allows the user to perform the associated inspection as part of completing the work request.
-
In the Procedure Owner field, enter the name of the person responsible for the content of the procedure.
The procedure owner does not have to be a system user.
-
In the External Procedure ID field, enter any value needed to cross-reference this procedure to an external system.
-
In the Priority field, select a value indicating the importance of this procedure.
This value is used in reporting.
-
In the Procedure Body text field, enter the text of the procedure.
You can copy and paste text from another source, such as a word processor or text editor.
-
Click OK.
The procedure is added and the Procedure Details page is opened, allowing the procedure to be further defined.
