Create Inspection
The Create Inspection page allows you to use an inspection template to create an inspection for a particular piece of equipment, location, or process. Creating an inspection allows the system to track trends, equipment readings, and site specific requirements.
To create an inspection:

Access the Inspection module by clicking the Inspection link at the top of the page.

Select the Create Inspection tab.
The Create Request page opens.

In the Property field, select the property where the inspection will take place.
If you have access to many properties, the field may be replaced by a Select link that opens a dialog box where you can locate and select a property. You can create inspections on any property that you have security rights to access, including properties that you are granted rights to through region security.

Use the Location fields to specify a location within the property where the inspection will take place.
Location is highly configurable. Your system may display one or more of the following fields:

Space/Floor – Select a value to specify that the inspection will take place on a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.

Zone – Select a value to specify that the inspection will take place in a particular zone within the property.

Tower/Wing – Select a value to specify that the inspection will take place in a particular tower or wing within the property.

Floor – Select a value to specify that the inspection will take place on a particular floor within the property.

Space – Select a value to specify that the inspection will take place in a particular space within the property. You cannot select a space until after you select a floor.

Sub-Space – Select a value to specify that the inspection will take place in a particular subSpace within the property. You cannot select a subSpace until after you select a space.

In the Inspection Class field, select the class of inspection you want to create.
The inspection class defines a broad classification for an inspection, for example, Preventative Maintenance or Annual Inspections.
If your user account has a default type selected for this inspection class, it will appear in the Inspection Type field.

In the Inspection Type field, select the type of inspection you want to create.
The inspection type specifies a particular type of inspection within the class, often the type of item being inspected, for example, Air Compressor or Surgical Microscope.
When you select an inspection type, the unique inspections items and grading scale from the inspection template appear at the bottom of the page.

In the Inspector field, select the name of the user performing the inspection.
This value defaults to the name of the user who created the inspection, but can be changed, if someone else will actually be performing the inspection.

In the Inspection Date field, enter the date and optional time when the inspection will take place.
This value defaults to the current date. The time will be filled in when the inspection is completed.

In the Occupant field, enter the name of the person who occupies the room where the inspection will take place.

In the Room/Area field, enter the room or area where the inspection will take place.

Click the Asset Select link to select the asset the inspection will be performed on.

Enter values for each item in the inspection.

Score – Select a score for the item from the specified range. A scale, indicating what each score value corresponds to, appears below the items. To clear a score, click the ellipsis (…) after the last score value.

Condition – Select the condition of the item.

Reading – Enter a value if there is an equipment reading associated with this item, for example, a temperature reading. Some inspections do not include this field.

Weight – Examine the weight (importance) of the specified item. This helps determine how the overall score is calculated. If the reading is included, the weight value does not appear.

Comments – Enter any comments you may have about the item.
Note:You must score at least one item to create the inspection; you do not have to score all items. The overall score for the inspection is calculated based on the weighted average of the items scored.

In the General Comments field, enter any overall comments you have about the inspection.

If you want to view previous inspections, click the View Previous Inspections link.
You must select an inspection class, inspection type, and an asset to view previous inspections. The inspections appear in a separate window, with the most recent inspection at the top. The general inspection information as well as the score for each item and any general comments are displayed.

Click OK to create the inspection.
The inspection is created and a confirmation page opens containing the following information:
- The Inspection Score indicates the overall score of the inspection, by calculating the weighted average of the scores for all scored items. If the inspection fails any established threshold score value, a work order may automatically be created.
- The Inspection ID number is displayed as a link. Click this link to open the Inspection Details page.
- Click the REPEAT link to create another, similar inspection. The Create Inspection page opens, copying all of the original inspection's information, except for the scores, conditions, and comments.
