Online Document

The Online Document page allows you to create an electronic document that can be stored along with a company document. An online document is most often used to create a form letter to notify the contact person of impending document expiration.

An online document can be based on an existing document print format, but can be tailored to your particular needs using both static text and print tokens. The online document can be saved and stored as part of the company document information, and can also be exported to Microsoft Word or printed directly from the Online Document page.

To create a an online document:

  1. Open the View Document Details page for the company document that the online document will be associated with.

    This page can be opened by clicking the DETAILS button on a document record from either the search results on the Documents page or the Company Documents pane of the Company Details page.

  2. Click the Online Document link.

    At the top of the page, general information about the company document is displayed. Below this information are fields that allow you to define the online document's content.

  3. If you want to select a document print format as the starting point for this online document, make a selection in the Select a form for this document field and click SELECT.

    The contents of the selected document appear in the large editor field at the bottom of the page.

    Note:

    Selecting a document print format will replace any current online document contents with the contents of the selected form.

  4. Edit the contents of the large field to contain the appropriate text.

    Utilizing the editor features, you can include graphics, static text, print tokens, and page formatting. For more information about the editor, click the Help icon. Any changes you make are applied to this online document only; the saved document print format is not affected.

  5. Click UPDATE to save the online document.

    You must click UPDATE for any changes made to the online document to be applied when you print or export.

Once you have saved the online document you can:

  • Click Return to Document to exit the Online Document page and return to the View Document Details page.
  • Click Export to export the online document to a Microsoft Word file which can be opened or saved to your computer's hard disk.
  • Click Preview to preview a copy of the online document and optionally print it.
