Run Report – Asset

Asset reports allow you to view and print reports about your installation's assets. These reports aid management in overseeing and analyzing the set of assets maintained, asset costs, maintenance history, and the types of work performed on assets.

Asset reports only return information about assets that are associated with active properties. If an asset is associated with a property that has been inactivated, the asset will not be included in any Asset reports.

Your security rights determine whether you can run asset reports and which properties you can run the reports on. If you do not have the required security rights, contact your system administrator.

To run Asset reports:

  1. Access the Asset module by clicking the Asset link at the top of the page.

  2. Select the Run Report tab.

  3. In the Select a report field, select the report you want to run.

  4. Specify report criteria.

  5. Click OK to run the report.

The following Asset reports are available:

ClosedAsset Listing

The Asset Listing report provides a summary of all assets listed by asset name. Using this report, you can determine which assets are in use at each property, have not yet been scheduled for preventative maintenance, or have warranties that are about to expire.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Region – Select a value to run the report for a particular region. Selecting a region limits the property values that can be selected to the properties within the specified region.
  • Property – Select a value to run the report for a particular property. If a region was selected, only properties within that region are displayed.
  • Location – Select a location using any of the following fields. Location is highly configurable. Your system may display one or more of the following criteria.
  • Space/Floor – Select a value to run the report for assets located on a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.
  • Zone – Select a value to run the report for assets located in a particular zone within the property.
  • Tower/Wing – Select a value to run the report for assets that are located in a particular tower or wing within the property.
  • Floor – Select a value to run the report for assets located on a particular floor within the property.
  • Space – Select a value to run the report for assets located in a particular space within the property. You cannot select a space until after you select a floor.
  • Sub-Space – Select a value to run the report for assets located in a particular subSpace within the property. You cannot select a subSpace until after you select a space.
  • Asset Group - Select a value to run the report for a particular asset group. Asset Groups define broad categories of assets (for example, Electrical, HVAC, or Lab Equipment).
  • Asset Class – Select a value to run the report for a particular asset class. Asset Classes define more narrow categories of assets within groups (for example, in the HVAC group) where there may be Boilers, Air Compressors, and Exhaust Fans.
  • Asset Status – Select a value to run the report for assets of a particular status (for example, In Service or Retired).
  • (Healthcare Functionality Only) ECRI Code – the Emergency Care Research Institute code for the asset –
  • (Healthcare Functionality Only) Ext. Cost Center – the external cost center associated with the asset
  • (Healthcare Functionality Only) Risk Assessment – a value indicating the general level of risk associated with the failure of this asset
  • Manufacturer – Select a value to run the report for assets made by a particular manufacturer.
  • Model – This field is displayed only after a Manufacturer is selected. Select a value to run the report for assets from the selected manufacturer that have a particular model number.
  • Warranty Exp. Date – Enter two date values to run the report for assets whose warranties expired within the specified date range.
  • Asset Rank – Select a value to run the report for assets of a particular rank. Asset rank values define the relative importance of the asset (for example, Critical or Standard).
  • Employee – Click the Select link to run the report for assets assigned to a particular employee. In general, only certain types of assets (for example, computers or telecom equipment) are usually assigned to an employee.
  • Room/Area – Enter a value to run the report for assets that contain the specified characters in their room/area designation. This criterion is not case-sensitive but will only return assets that contain the entire word or phrase entered.
  • (Healthcare Functionality Only) Auto-Assign To – the name of the user to whom work requests involving this asset are automatically assigned
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file), HTML (displayed in a browser window) or CSV (comma separated variables).
  • Status – Select a value to run the report for Active, Inactive, or All assets.
  • Advanced Report Criteria – Click this link to display list boxes that allow you to select one or more Asset Classes, Asset Ranks, FCA Ranks, or Asset Class UDFs. Either SHIFT-Select multiple contiguous values, or CTRL-Select multiple individual values.

Report Output

The generated report contains one row for each asset.

If the defined criteria would return more than 250,000 asset records, an error message is displayed asking you to narrow your search criteria.

The results include:

  • Asset Name – the name of the asset
  • Asset Number – the assigned asset number
  • Financial System ID – the asset identification number used with the financial system
  • Barcode Number – the bar code ID associated with the asset
  • Serial Number – the serial number assigned to the asset
  • Asset Class – the classification of the asset
  • Asset Rank – the rank of the asset indicating its relative importance
  • (Healthcare Functionality Only) Auto-Assign To – the name of the user to whom work requests involving this asset are automatically assigned
  • In Service Date – the date the asset was placed in service
  • (Healthcare Functionality Only) ECRI Code – the Emergency Care Research Institute code for the asset
  • (Healthcare Functionality Only) ECRI Description – a description of the ECRI Code, usually the name of the equipment
  • (Healthcare Functionality Only) Ext. Cost Center – the external cost center associated with the asset
  • (Healthcare Functionality Only) Ext. Cost Center Description – a description of the external cost center
  • (Healthcare Functionality Only) RA# – a value indicating the general level of risk associated with the failure of this asset
  • Manufacturer – the name of the company that manufactured the asset
  • Model – the manufacturer's model number for the asset
  • Asset Status – the status of the asset which usually indicates whether it is in service
  • Status Comments – any comments associated with the asset's status
  • Asset Description – a description of the asset
  • Warranty Effective Date – the beginning date for the asset's warranty
  • Warranty Expiration Date – the ending date for the asset's warranty
  • Property – the property where the asset is located
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and subSpace within the property where the asset is located
  • Room/Area – any room or area within the space, within the property where he asset is located
  • Employee – the name of the employee the asset is assigned to; most often, only certain types of assets (like computers or telecom equipment) are assigned to employees
  • Purchase Date – the date on which the asset was purchased
  • Purchase Amount – the purchase price of the asset
  • Asset Comments – any comments associated with the asset
  • Scheduled – Y if the asset has preventative maintenance schedule associated with it
  • Last Update – the date/time on which information about the asset was last updated
  • Updated By – the name of the user who last updated the asset information
  • Asset Safety Comment – any safety comments associated with the asset
  • # of Documents – the number of documents attached to the asset
  • Status – indicates whether the asset is Active or Inactive
  • External Property ID – any property ID associated with an external system
  • Estimated Life (yrs) – the expected number of years this asset will be in use
  • Asset Keyword – the keyword associated with the asset
  • Asset Type – the type or category associated with the asset
  • Warranty Vendor – the name of the company holding the warranty to the asset
  • Warranty PO# – the PO on which the warranty for the asset was purchased
  • Purchase PO# – the number of the PO on which the asset was purchased
  • Purchase PO Date – the date on the PO on which the asset was purchased

ClosedAsset Parent Listing

The Asset Parent Listing report provides a list off all assets that have defined parent/child relationships. Any assets that do not have a parent/child relationship are not included in the report. The report contains one row for each child asset. Assets can be children of more than one parent and a parent can have more than one child asset. If the child asset is Active, it is included in the report, even if the parent asset is Inactive.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Region – Select a value to run the report for a particular region. Selecting a region limits the property values that can be selected to the properties within the specified region.

Report Output

The generated report contains one row for each child asset. All column information in the report refers to the child asset. The results include:

  • Parent Asset – the name of the parent asset
  • Child Asset – the name of the child asset
  • Asset Number – the assigned asset number
  • Financial System ID – the asset identification number used with the financial system
  • Barcode Number – the bar code ID associated with the asset
  • Serial Number – the serial number assigned to the asset
  • Asset Class – the classification of the asset
  • Asset Rank – the rank of the asset indicating its relative importance
  • Manufacturer – the name of the company that manufactured the asset
  • Model – the manufacturer's model number for the asset
  • Asset Status – the status of the asset which usually indicates whether it is in service
  • Status Comments – any comments associated with the asset's status
  • Asset Description – a description of the asset

ClosedAsset Class Detail

The Asset Listing report provides a summary of all assets in a particular asset class, listed by asset name. The Asset Class Detail report is similar to the Asset Listing Report but also includes columns for any user-defined fields specifically associated with the selected asset class. It contains one row for each asset in the defined class. You must specify an Asset Class to run this report.

ClosedAsset Value Listing

The Asset Value Listing report provides key financial information about assets such as their purchase amount, expected replacement cost, expected useful life, and depreciated value.

This report can be run in Update Mode which causes each asset's Estimated Replacement Cost value to be updated based on the Inflation Rate entered and the asset's estimated useful life. It is recommended that you run the report once with Update Mode turned off and review the report values before running it with Update Mode turned on.

  • Inflation Rate – Enter a value to use as the average annual inflation rate over the life of the assets. This value is used to calculate the estimated replacement cost. The value you enter will be converted to a percentage (for example, enter 4.25 for an inflation rate of 4.25% or 0.0425). The default value is 3.5 %.
  • Run In Update Mode – Select Yes to run in update mode. This causes the system to update the estimated replacement cost of each asset that matches the selected criteria based on the entered inflation rate. It is recommended that you run the report once with update mode turned off and check the report values before running in update mode.
Note:

If you run in update mode, updates are made for Inactive assets as well as Active assets.

  • Depreciated Value – the current depreciated value calculated using the Double Declining Balance Depreciation Method based on the asset's purchase amount, in service date, and estimated useful life.
  • Actual Life Expectancy Date – the Life Expectancy Date as entered on the asset
  • Life Expectancy Date – the calculated expected date of the end of asset's useful life which is determined by adding the estimated life value to the date the asset was placed into service
  • Budget Year – the year in which the asset's useful life will expire
  • Est Repl. Cost – the estimated replacement cost calculated using the estimated useful life and the entered inflation rate
  • Status – indicates whether the asset is Active or Inactive

ClosedAsset Last Maintenance

The Asset Last Maintenance report lists each asset and the date on which maintenance was last performed on the asset.

  • (Healthcare Functionality Only) Auto-Assign To – the name of the user to whom work requests involving this asset are automatically assigned
  • Property – the property where the asset is located
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and subSpace within the property where the asset is located
  • Room/Area – any room or area within the space, within the property where he asset is located
  • Last Maintenance Date – the date on which work was last done on this asset
  • Status – indicates whether the asset is Active or Inactive

ClosedAsset 6 Month Request History

The Asset 6 Month Request History lists all assets in the specified asset group and provides information about the scheduled work orders for each asset over a six-month period. You cannot run this report without specifying an asset group.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • Region – Select a value to run the report for a particular region. Selecting a region limits the property values that can be selected to the properties within the specified region.
  • Property – Select a value to run the report for a particular property. If a region was selected, only properties within that region are displayed.
  • Location – Select a location using any of the following fields. Location is highly configurable. Your system may display one or more of the following criteria.
  • Space/Floor – Select a value to run the report for assets located on a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.
  • Zone – Select a value to run the report for assets located in a particular zone within the property.
  • Tower/Wing – Select a value to run the report for assets that are located in a particular tower or wing within the property.
  • Floor – Select a value to run the report for assets located on a particular floor within the property.
  • Space – Select a value to run the report for assets located in a particular space within the property. You cannot select a space until after you select a floor.
  • Sub-Space – Select a value to run the report for assets located in a particular subSpace within the property. You cannot select a subSpace until after you select a space.
  • Asset Group - Select a value to run the report for a particular asset group. Asset Groups define broad categories of assets (for example, Electrical, HVAC, or Lab Equipment). You cannot run this report without specifying an asset group. For more information, see Asset Groups.
  • Asset Class – Select a value to run the report for a particular asset class. Asset Classes define more narrow categories of assets within groups (for example, in the HVAC group) where there may be Boilers, Air Compressors, and Exhaust Fans.
  • Asset Status – Select a value to run the report for assets of a particular status (for example, In Service or Retired).
  • Manufacturer – Select a value to run the report for assets made by a particular manufacturer.
  • Model – This field is displayed only after a Manufacturer is selected. Select a value to run the report for assets from the selected manufacturer that have a particular model number.
  • Warranty Exp. Date – Enter two date values to run the report for assets whose warranties expired within the specified date range.
  • Asset Rank – Select a value to run the report for assets of a particular rank. Asset rank values define the relative importance of the asset (for example, Critical or Standard).
  • Employee – Click the Select link to run the report for assets assigned to a particular employee. In general, only certain types of assets (for example, computers or telecom equipment) are usually assigned to an employee.
  • Room/Area – Enter a value to run the report for assets that contain the specified characters in their room/area designation. This criterion is not case-sensitive but will only return assets that contain the entire word or phrase entered.
  • Start Month/Year – Enter a value to specify the month and year that defines the start of the six-month period this report will be run for.
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file), HTML (displayed in a browser window) or CSV (comma separated variables).
  • Status – Select a value to run the report for Active, Inactive, or All assets.
  • Procedure Type – Select a value to run the report for assets that are associated with a schedule that has a particular type of procedure associated with it. For more information, see Procedure Types.
  • Advanced Report Criteria – Click this link to display list boxes that allow you to select one or more Asset Classes, Asset Ranks, FCA Ranks, or Asset Class UDFs. Either SHIFT-Select multiple contiguous values, or CTRL-Select multiple individual values.

Report Output

The generated report contains one row for each asset. The results include:

  • Property – the property where the asset is located
  • Location – one or more columns indicating the Tower/Wing, Floor, Space, and subSpace within the property where the asset is located
  • State – the state where the asset is located, obtained from the property address
  • City – the city where the asset is located, obtained from the property address
  • Asset Rank – the rank of the asset indicating its relative importance
  • Asset Number – the assigned asset number
  • Financial System ID – the asset identification number used with the financial system
  • Barcode Number – the bar code ID associated with the asset
  • Asset Class – the classification of the asset
  • Make – the name of the company that manufactures the asset
  • Asset Name – the name of the asset
  • Schedule Details – for each month in the specified 6-month time frame, the following columns of information are provided
    • Date - the date the month begins on
    • Procedure Type – the type of procedure associated with the schedule (for example, monthly, semi-annually)
    • Request IDs – a list of all of the request IDs associated with the schedule that occur in the specified month
    • Statuses – a list of the current status values for all of the associated requests
    • Closed Dates – for each request in the schedule that has been closed, the close date is listed
    • Labor Hours – the number of labor hours that have been recorded for each request

ClosedAsset Compliance

The Asset Compliance report provides information about the scheduled preventative maintenance work requests associated with an asset in a particular month/year to determine whether the asset is being properly maintained and when waivers for preventative maintenance have occurred.
