Find Asset
The Find Asset page allows you to search for assets based on a complex set of criteria you define. Once you have located the desired assets, you can select one from the search results and view/modify the asset detail information.
To find assets:
- Access the Asset module by clicking the Asset link at the top of the page.

Select the Find Asset tab.
The Find Asset page opens.

Specify any of the following criteria to define the set of assets you want to find:

Property – Click the Select link to find assets associated with a particular property.
If a property is selected, the Region field is replaced by one or more location fields.

Location – If a property is selected, additional location options appear, allowing you to further define an asset location within the property.
Location is highly configurable. Your system may display one or more of the following fields:

Space/Floor – Select a value to find assets located on a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.

Zone – Select a value to find assets located in a particular zone within the property.

Tower/Wing – Select a value to find assets located in a particular tower or wing within the property.

Floor – Select a value to find assets located on a particular floor within the property.

Space – Select a value to find assets located in a particular space within the property. You cannot select a space until after you select a floor.

SubSpace – Select a value to find assets located in a particular subSpace within the property. You cannot select a subSpace until after you select a space.

Region – Select a value to find assets associated with a particular region.
If a property is selected, the Region field is replaced by one or more location fields.

Asset Name – Enter a value to find assets that contain the specified characters in their name. This search is not case-sensitive. The search is done on the entire word or phrase entered, not on individual words. You can enter part of a word, for example, entering "ca" will find both car and camera.

Asset Class – Select a value to find assets of a particular class. Asset class defines the type or classification of the asset, for example, Boiler or Furniture. To search by multiple asset class values, see step 3, Advanced Search Criteria.

Asset Number – Enter a value to find assets that contain the specified characters in their asset number. This search is not case-sensitive and is done on the entire word or number entered.

Serial Number – Enter a value to find assets that contain the specified characters in their serial number. This search is not case-sensitive and is done on the entire word or number entered.

Asset Description – Enter a value to find assets that contain the specified characters in the value in their description. This search is not case-sensitive and is done on the entire word or phrase entered.

Asset Status – Select a value to find assets of a particular status. Asset status values define the current state of the asset, for example, In Service or Retired.

(Healthcare Functionality Only) For systems utilizing the optional Healthcare Functionality, specify values for the following fields.
Note:These fields can be enabled on an individual basis. Therefore, some systems that are utilizing healthcare functionality may not include one or more of these fields.
- Click the ECRI Code Select link to select an Emergency Care Research Institute code for the asset.
- In the Risk Assessment field, enter a value indicating the general level of risk associated with the failure of this asset.
- Click the Ext Cost Center Select link to select an external cost center for the asset.

Manufacturer – Select a value to find assets that were made by a particular manufacturer.

Model – This field appears only after a Manufacturer is selected. Select a value to find assets from the selected manufacturer that have a particular model number.

Barcode Number – Enter a value to find assets that contain the specified characters in their barcode ID. This search is not case-sensitive and is done on the entire word or number entered.

Financial System ID – Enter a value to find assets that contain the specified characters in the asset identification number used with their financial system. This search is not case-sensitive and is done on the entire word or number entered.

Warranty Exp. Date – Enter two date values to find assets whose warranties expired within the specified date range.

Asset Rank – Select a value to find assets of a particular rank. Asset rank values define the relative importance of the asset, for example, Critical or Standard.

Employee – Click the Select link to find assets assigned to a particular employee. In general, only certain types of assets (for example, computers or telecom equipment) are assigned to an employee.

Room/Area – Enter a value to find assets that contain the specified characters in value in their room/area designation. This search is not case-sensitive and is done on the entire word or phrase entered.

(Healthcare Functionality Only) Click the Auto-Assign To Select link to select a user to whom work requests involving this asset will be assigned.
Some systems utilizing healthcare functionality may disable this feature. If disabled, the Auto-Assign To field will not appear.

Status– Select a value to find assets of a particular status, usually Active or Inactive. By default, only active assets are returned.

To define advanced search criteria, click the Advanced Search Criteria link.
The advanced search criteria displays list boxes that allow you to search for multiple values of Asset Class, Asset Rank, and/or FCA Rank. To select multiple values either SHIFT-Select multiple contiguous values, or CTRL-Select multiple individual values.

Once your search criteria are defined, click FIND to display the results.
Above the result list, the total number of results appears. If more assets are found than can be displayed on the page at one time, the first 100 are displayed and Prev and Next links appear to allow you to scroll through the results.
The following columns of data are displayed. You can sort the list by clicking any of the column headings.

Asset Name – the name of the asset; clicking this link opens the Asset Details page

Asset Number – the unique asset number

Manufacturer– the name of the company that manufactured the asset

Property/Location – the name of the property and, optionally, the floor, space, and subSpace within the property where the asset is located

Room/Area – the room or area where the asset is located

Asset Class – the class or type of asset.
In addition to the search results, the following link is also displayed:

Excel – Generates a report, in Excel format, containing one row for each asset returned in the search results.

Tips and Techniques
If you feel that assets are missing from the search results, the following troubleshooting tips may be helpful:

Try re-running your search and setting the Status value to Inactive. The asset you are trying to locate may have been inactivated.

Not all of the criteria fields displayed on the Find Assets page were required during asset creation. The assets you are trying to locate may not have a value specified for one of these fields. You can try to broaden your result set by removing some criteria values.

Security rights may be configured to restrict your access to certain assets. If you feel this is the case, contact your system administrator.
