Space Configuration Options

The Space Configuration Options page allows a system administrator to set basic configuration options for the Space module.

To set space configuration options:

  1. Open the Administration Menu page.

  2. Under the SPACE ADMIN heading, click Space Configuration Options.

    The Space Configuration Options page opens in a new tab.

  3. In the Department Based Security field, select a value.

    Select Yes to enable department-based security or No to disable it. Department-based security allows you to grant users security rights to individual spaces based on their affiliations with a particular department. For example, you could grant all members of the Chemistry department access to all of the chemistry labs across campus or you could grant all members of the Radiology department access to X-ray and MRI rooms throughout a hospital. You can be grant users both department-based security rights and property-based security rights to spaces.

    Departments are associated with spaces on the Edit Space page by specifying an Allocated Group in either the space Categorization or in the space's Complex Allocations.

    If this feature is enabled, the Department field on the Edit User page is hidden.

  4. In the Require External Property Id 1 field, select a value.

    Select Yes to make the External Property Id 1 field on the Create Property page a required field.

  5. In the Default Complex Allocation End Date field, select a value.

    Select Yes to automatically default the end date of complex allocations to today's date + 1 year. If set to No, complex allocation end dates can be left blank indicating that the end is undefined. Once a new complex allocation is defined, the open allocation will automatically close on the day before the new allocation starts.

  6. In the Require Complex Allocation Description field, select a value.

    Select Yes to require users to enter a description when they create a new complex allocation.

  7. In the Allocation Layer 1 field, select a value.

    This value specifies the type of allocation that must be specified as the first layer of a complex allocation for all spaces.

  8. In the Allocation Layer 2 field, select a value.

    This value specifies the type of allocation that must be specified as the second layer of a complex allocation for all spaces.

  9. In the Allocation Layer 3 field, select a value.

    This value specifies the type of allocation that must be specified as the third layer of a complex allocation for all spaces.

    Note:

    Specifying values for Allocation Layer 1, Allocation Layer 2, and Allocation Layer 3 enforces a format on complex allocations, ensuring that all spaces have the same type of allocations in the first, second, and third layers of a nested complex allocation. Specifying values for these options is not required.

  10. In the All Departments Must Review field, select a value.

    Select Yes to require that all departments assigned as an allocated group for a space must review a survey before it is submitted for admin approval. Department-based security must be turned on to enable this option.

  11. In the Approval Only Allocation Updates field, select a value.

    Select Yes to require approval only if the complex allocation settings for a space have been updated via a survey.

  12. Click UPDATE.
