Occupancy Status

Occupancy status values are used to indicate whether a space or subSpace is occupied or vacant. The values you define populate the Occupancy Status drop-down menu on the View Space, Edit Space, View SubSpace, Edit SubSpace, and Find Location pages.

Two types of occupancy status values can be defined:

  • Default Occupancy Status – These values are automatically assigned to a space or subSpace by evaluating the current capacity and occupancy. For example, if the capacity of a space is 100 persons and there are 12 vacancies, the system will automatically assign a Partial occupancy status.

  • Other Occupancy Status – These values can be manually selected to override the default occupancy status and provide additional occupancy information, if needed. For example, if a space is normally occupied, but being renovated, you may want to define a Temporarily Vacant status that the user can assign.

To open the Occupancy Status page:

  1. Open the Administration Menu page.

  2. Under the SPACE ADMIN heading, click Occupancy Status.

    The Admin – Occupancy Status page opens. All defined occupancy status values are displayed. Occupancy status values are listed in order of Tab Order first, then chronologically by Last Update date.

Creating a occupancy status value allows you to define the values that are included in the Occupancy Status drop-down menu as well as the occupancy status values that are automatically assigned by the system. To create an occupancy status value:

  1. Click the Add New link.

    The Add Occupancy Status dialog box opens, allowing you to define the new value.

  2. In the Name field, enter the name of the occupancy status value.

  3. In the Description field, enter a description of the occupancy status value.

    This field can be used to provide more information about the occupancy status value. This value can be up to 1000 characters long. As you type, the character count updates indicating the number of additional characters that can be entered.

  4. In the Tab Order field, enter a numeric value.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  5. In the Active field, select Yes to make this occupancy status value active.

    Inactive values remain in the system, but are not displayed to users.

  6. Select values in the Full, Partial, and Empty fields to indicate whether this occupancy status value will be used as a system-assigned default status value.

    • To define the default value assigned when a space is full to capacity, select Yes for Full and No for all other fields.

    • To define the default value assigned when a space is partially occupied, select Yes for Partial and No for all other fields.

    • To define the default value assigned when the space is completely empty, select Yes for Empty and No for all other fields.

    • To define an occupancy status value that will be manually assigned, select No for all fields.

    Each default can be set to Yes for one occupancy status only.

  7. Click OK.

    The occupancy status value is added to the list. The Default columns indicate whether the status value will be used as the default status for full, partially full, or empty spaces. The name of the user who added the occupancy status value and the date and time it was added are displayed.

Occupancy status values can be modified. For example, if you want to change an occupancy status value's position in drop-down menus, you can modify the tab order. To edit an occupancy status value:

  1. Click the Edit link to the right of the occupancy status value you want to edit.

  2. Modify any of the following values:

    • Name – the value that users see
    • Description – information about the occupancy status value
    • Tab Order – the position in which the occupancy status value will be displayed in drop-down menus
    • Active – Yes indicates that the occupancy status value is active (displayed to the user)
    • Full – Yes indicates that this occupancy status value is the system-assigned status when the space is at capacity
    • Partial – Yes indicates that this occupancy status value is the system-assigned status when the space has occupants but is not at capacity
    • Empty – Yes indicates that this occupancy status value is the system-assigned status when the space has no occupants
  3. Click OK.

    The modified occupancy status value is displayed in the list. The name of the user who edited the occupancy status value and the date and time it was edited are displayed.

Occupancy status values that have not been used can be deleted from the system.

If an occupancy status value has been used but is no longer needed, you can edit it and make it inactive to prevent it from being displayed to users.

To delete an occupancy status value:

  1. Click the Delete link to the right of the occupancy status value you want to delete.

    A dialog box opens asking you to confirm your choice.

  2. Click OK.
