Contact Types

Contact type values are used to indicate the primary role of the person selected as a contact for a floor, space, or subSpace, for example, Space Planner or Emergency Contact. The values you define populate the Contact Type drop-down menu in the Add Contact dialog box that is displayed when users to add a contact to a floor, space, or subSpace.

To open the Contact Type page:

  1. Open the Administration Menu page.

  2. Under the SPACE ADMIN heading, click Contact Types.

    The Admin – Contact Type page opens. All defined contact types are displayed, listed in order of Tab Order first, then chronologically by Last Update date.

Creating a contact type allows you to define the values that are included in the Contact Type drop-down menu when they add a contact to a floor, space, or subSpace. To create a contact type:

  1. Click the Add New link.

    The Add Contact Type dialog box opens, allowing you to define the new value.

  2. In the Name field, enter the contact type name.

  3. In the Description field, enter a description of the contact type.

    This field can be used to provide more information about the contact type. This value can be up to 1000 characters long. As you type, the character count updates indicating the number of additional characters that can be entered.

  4. In the Tab Order field, enter a numeric value.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  5. In the Active field, select Yes to make this contact type active.

    Inactive values remain in the system, but are not displayed to users.

  6. Click OK.

    The contact type is added to the list. The name of the user who added the contact type and the date and time it was added are displayed.

Contact types can be modified. For example, if you want to change the value that users see, you can modify the name. To edit a contact type:

  1. Click the Edit link to the right of the contact type you want to edit.

  2. Modify any of the following values:

    • Name – the value that users see
    • Description – information about the contact type
    • Tab Order – the position in which the contact type will be displayed in drop-down menus
    • Active – Yes indicates that the contact type is active (displayed to the user)
  3. Click OK.

    The modified contact type parameters, including the name of the user who edited them and the date and time when they were edited, are displayed.

Contact types that have not been used can be deleted from the system.

If a contact type has been used but is no longer needed, you can edit it and make it inactive to prevent it from being displayed to users.

To delete a contact type:

  1. Click the Delete link to the right of the contact type you want to delete.

    A dialog box opens asking you to confirm your choice.

  2. Click OK.
