Reservation Configuration

The Reservation Configuration page allows a system administrator to set basic configuration options for the Reservation module.

To set reservation configuration options:

  1. Open the Administration Menu page.

  2. Under the RESERVATION ADMIN heading, click Reservation Configuration.

  3. In the Timeout in Minutes field, enter a numeric value.

    Between the time a reservation resource is selected and the reservation is confirmed, the resource is locked to prevent others from reserving the same resource at the same time. This value indicates the length of time after which this lock is automatically released, even if the reservation is not confirmed so that resources do not remain indefinitely unavailable.

  4. In the Default Request Type and Subtype fields, select a work request type and subType.

    These values define the default work order type and subType associated with a reservation if there is no request type and subType defined as part of the resource type or resource. For more information, see the Reservation Resources and Reservation Resource Types pages.

  5. Specify values for any of the following Notification options:

    All of the following values can contain static text, email tokens, and HTML tags.

    Email tokens are system field variables that are replaced with appropriate values when the email is sent. For example, the %lbl_request_id% token inserts the work request ID.

    HTML tags can be used to format text or insert hyperlinks. For example <b>text</b> creates boldfaced text.

    1. Confirmation Subject – Enter a value to indicate the subject line used for emails sent to notify a user that a reservation has been confirmed.

    2. Confirmation Body – Enter a value to indicate the body text for emails sent to notify a user that a reservation has been confirmed.

    3. Notify Requestor Subject – Enter a value to indicate the subject line used for emails sent to notify the user who made a reservation that reservation has been updated.

    4. Notify Requestor Body – Enter a value to indicate the body text for emails sent to notify the user who made a reservation that reservation has been updated.

    5. Approval Subject – Enter a value to indicate the subject line used for emails sent to notify the user who made a reservation that the reservation has been approved.

    6. Approval Body – Enter a value to indicate the body text for emails sent to notify the user who made a reservation that the reservation has been approved.

    7. Notify Manager Create Subject – Enter a value to indicate the subject line used for emails sent to notify the reservation manager that reservation has been created.
    8. Notify Manager Create Body – Enter a value to indicate the body text used for emails sent to notify the reservation manager that reservation has been created.
    9. Notify Manager Update Subject – Enter a value to indicate the subject line used for emails sent to notify the reservation manager that reservation has been updated.
    10. Notify Manager Update Body – Enter a value to indicate the body text used for emails sent to notify the reservation manager that reservation has been updated.

      The Notify Manager emails are only sent if the Do you need services for this Reservation check box is selected on the reservation.

  6. In the Number of Days Allowed in the Future fiend enter a numeric value indicating how many days in the future users are allowed to create a reservation for.

  7. Click UPDATE.
