Property Guests

The Property Guest Users page allows you to easily view and add named guest users to a property. Named guests can also be created on the Create a User page, but this page simplifies the process of creating a guest user and allows you to view a list of all users that are associated with the selected property.

To open the Property Guest Users page:

  1. Open the Administration Menu page.

  2. Under the LOGBOOK ADMIN heading, click Property Guests.

    Information about the property appears at the top of the page. A list of all existing guest users appears at the bottom of the page.

Adding a guest user creates a named guest user account and gives him security rights to access the selected property. By default, the newly created user will have access to the default activity group and security rights to access the Logbook module, to create work requests, and to view the My Requests page.

To add a guest user:

  1. In the User Name field, enter a login name for the user.

    This is the name that the user will enter to log on to the system, for example, ajohnson.

  2. In the Password field, enter a password for the user.

    Passwords are case-sensitive and can be modified by the user upon login.

  3. In the First Name field, enter the user's first name.

  4. In the Last Name field, enter the user's last name.

  5. In the Address 1 field enter the user's street address.

    Default values for the user's address, as well as the city, state, zip/postal code, and country, are taken from the selected property. On this page, only the first address field is displayed. If you want to modify other address values, you can do so on the Edit User page after the named guest user is created.

  6. In the E-Mail Address field, enter the user's email address.

  7. In the Phone and Fax fields, enter the user's phone number and fax number.

    The phone and fax numbers are defaulted from the selected company.

  8. In the Default Space field, select the user's default space within this property.

    The default space is the one that is selected for this user, by default, on the Create Request page.

  9. Click the Select a Company link to select the company the user is associated with.

    You must select an existing company. If an appropriate company is not in the list, you can create a new company.

  10. Click ADD.

    The named guest user is added to the list at the bottom of the page. You can modify the user account by clicking either of the following links:

    • EDIT – Click this link to open the Edit User page and modify the user's account profile.
    • SEC – Click this link to open the User Security page and modify the user's security settings.

The controls above the user list can be used to filter out certain types of users or to locate a specific set of users.

  1. Specify the search criteria using the following fields and check boxes:

    • Search Name – Enter a value to search for users whose names contain the specified characters. This search is not case-sensitive.
    • Guests Only – Select this check box to display only guest users. When cleared, all users are displayed.
    • Logbook Only – Select this check box to filter out users who do not have security rights to access the Logbook module.
    • Inactive Only – Select this check box to display only inactive users. When cleared, active and inactive users are displayed.
  2. Click FIND.

    The user list updates to display only those users that match the specified criteria.
