Advanced Reassign

The Advanced Reassign feature assists users in creating appropriate reassignments for work orders that they cannot complete by allowing them to select a reassignment user from a list of preferred service providers. By defining reassignment rules, you can define the list of preferred reassignments for specific regions/properties and for individual types and subTypes of work.

Note:

In addition to creating advanced reassignment rules, certain configuration options must be set for the installation and for users to enable advanced reassignment. For more information, see the Required Configuration section at the bottom of this page.

To open the Advanced Reassign page:

  1. Open the Administration Menu page.

  2. Under the LOGBOOK ADMINISTRATION heading, click Adv Reassign.

ClosedCreate an Advanced Reassignment Rule

Reassignment rules define who is the primary, secondary, and tertiary suggested reassignment user for a specific type of work request. Reassignment rules can be created for individual properties or for all properties within a region. To create a reassignment rule:

  1. Select either the Property or Region the reassignment rule will apply to by clicking the appropriate Select link.

    All defined reassignment rules for this property or region appear. You can use the Request Type field to narrow the set of rules displayed. You can resort the list of displayed reassignment rules by clicking any of the column headings.

  2. Click the Create New link.

    The Add New dialog box opens, allowing you to define the new reassignment rule. At the top of the dialog box, a field displays the property or region the rule applies to.

  3. In the Type field, select the type of work to be reassigned.

  4. In the Sub Type field, select the subType of work to be reassigned.

    Selecting a subType is not required. If you do not select a subType, the rule applies to all subTypes within the chosen type.

  5. In the Reassign to field, select the name of the user the work should be reassigned to.

    Only users who have security rights to the selected property and work type are included, preventing you from creating an inappropriate reassignment rule.

    If a user is inactivated, that user will not be displayed when the Adv Reassign link is clicked by a user on the Request details page. However, the reassignment rule will remain in place and you can edit it.

  6. In the Reassignment Rank field select a value indicating whether this user is the primary, secondary or tertiary reassignment user.

    The reassignment user names will be displayed in the order of their rank.

  7. Click ADD.

    The new reassignment rule is displayed in the gray box on the Advanced Reassign – List page.

ClosedEdit an Advanced Reassignment Rule

Reassignment rules can be modified. For example, if a user has been made inactive, you may want to modify any reassignment rules that include that user. To edit a reassignment rule:

  1. Select either the Property or Region the reassignment rule was created for.

    The existing reassignment rules for that property or region are displayed in a gray box.

  2. Use the Filter by Request Type field to narrow the set of rules that are displayed.

  3. Click the Edit link to the right of the rule you want to edit.

  4. Modify any of the following values:

    • Type – the type of work to be reassigned
    • SubType – the optional subType of work to be reassigned
    • Reassign to – the name of the user to reassign the work to
    • Reassign Rank – the user's rank in the reassignment list, primary, secondary, or tertiary
  5. Click UPDATE.

ClosedDelete Advanced Reassignment Rules

Reassignment rules can be deleted when they are no longer needed. You can delete multiple rules at a time. To delete reassignment rules:

  1. Select either the Property or Region the reassignment rule was created for.

    The existing reassignment rules for that property or region are displayed in a gray box. Use the he Filter by Request Type field to narrow the set of rules that are displayed.

  2. Select the check box to the right of each reassignment rule you want to delete.

    If you select the check box to the right of the DELETE button, all displayed rules are selected. You can then deselect the rules you do not want to delete.

  3. Click DELETE.

    A dialog box opens asking you to confirm your choice.

  4. Click DELETE.

ClosedReassign Listing Report

A list of the defined reassignment rules can be exported to an Excel spreadsheet. This provides a convenient method of reviewing the existing reassignments without having to open a page for each property or region.

To export a list of reassignments, click the Reassign Listing Report link. The report contains the following columns:

  • Region – the region the reassignment applies to; this column is empty if the reassignment was made for a property

  • Property – the property the reassignment applies to; this column is empty if the reassignment was made for a region

  • Type – the work type the reassignment was made for

  • SubType – the work subType the reassignment was made for; this column is empty if the reassignment was made for the entire type

  • Reassign To – the name of the user the work is reassigned to

  • Reassign Rank – the rank of the reassignment user, primary, secondary, or tertiary

  • Updated By – the name of the user who created or last updated the reassignment

  • Last Update Date – the date on which the reassignment was created or last updated

ClosedMulti-Region/Activity Group

Some large installations may need to establish so many reassignment rules that doing so on an individual property, region, or request type basis would be too time-consuming. Therefore, reassignment rules can also be set on groups of regions or groups of request types all at once. This is done by:

  • Establishing a parent/child relationship among regions and setting reassignment rules on all child regions at once.

  • Creating activity groups and setting reassignment rules on all request types within that group at once.

To create reassignment rules that apply to multiple regions or activity groups:

  1. Click the Multi-Region/Activity Group link.

    The page updates to display different options. You can revert to the standard reassignment rules page by clicking the Region Property Selection link.

  2. Specify the Assigned To user by clicking the Select link and selecting the user that requests will be reassigned to.

  3. In the Activity Group field, select the activity group containing the requests that you want this reassignment rule to apply to.

    All currently defined reassignment rules for this activity group appear.

    Although you select an activity group, the reassignment rule is individually applied to each request type in that group; it is not applied to the activity group itself. This means that you can exclude individual request types from the rule. If new requests types are added to the activity group, they will not automatically inherit the reassignment rule.

  4. Click the Create New link.

    The Add New dialog box opens. At the top of the dialog box, the selected user and activity group appear.

  5. In the Reassign Rank field, select a value indicating whether this user is the primary, secondary or tertiary reassignment user.

  6. Click the Parent Region Select link to select a region.

    If the selected region has child regions, they appear beneath the parent region.

  7. Select check boxes to indicate which regions this reassignment rule should apply to.

    • If you select the check box to the left of the parent, the rule will apply to all regions currently beneath the parent and all additional regions that are added to the parent in the future.
    • If you select the check box to the left of one or more child regions, the rule will apply only to the selected regions. If a new child region is added to the parent, the rule will not automatically apply to the newly added region.
    • The Select All Regions and Unselect All Regions links provide convenient shortcuts for selecting/clearing all check boxes. You can then, individually select or clear child regions.
  8. Click ADD.

    All of the new reassignment rules are displayed, listed by region. You sort this list by clicking on a column heading.

    You can delete individual rules if they are not appropriate by clicking the check box to the right of the rule and clicking the DELETE button.

    You can modify individual rules, by clicking the EDIT link and making any necessary changes.

ClosedRequired Configuration

To take advantage of this feature, the following configuration options must be set.

  • On the Logbook Configuration Options page, in the Logbook Settings pane, the Adv Reassign Enabled flag must be set to Yes.

  • On the User Security page, under the Logbook Security Rights section, the Adv Reassign check box must be selected for each user that will use the advanced reassign feature.
